About the position

The Commercial Operations Analyst II plays a crucial role in supporting the operations functions across the Commercial Organization at Supernus Pharmaceuticals. This position is primarily responsible for coordinating and overseeing various sponsorship and marketing programs, business licensing and contract activities, awards, and speaker programs. The role demands meticulous attention to detail, effective communication with both internal and external stakeholders, and a strong commitment to ensuring compliance with company policies and regulatory requirements. In the realm of sponsorship program support, the analyst coordinates the processes related to commercial sponsorship events. This includes preparing and processing check requests, ensuring timely payments to vendors, and reviewing sponsorship forms for accuracy and completeness. The analyst works closely with the Marketing and Accounting departments to facilitate smooth transitions of documents and communication, while also maintaining a daily tracker of sponsorship events and payments. Additionally, the analyst serves as an administrator for the sponsorship processing platform, ensuring all operations run efficiently. For business licensing and contract support, the analyst coordinates the application and renewal of local business licenses or registrations necessary for the commercial organization. This involves gathering required information from various sources, tracking the status of applications, and maintaining all Commercial Operations contracts. The analyst is also responsible for creating and tracking renewal timelines and managing vendor forms and purchase order requisitions as needed. In terms of speaker program support, the analyst collaborates with Marketing and key stakeholders to manage Supernus' speaker programs. This includes supporting and reviewing key program deliverables such as budget speaker contracting, event logistics, platform training, data analysis, and reporting. The analyst maintains open communication with stakeholders, ensuring prompt and concise information flow regarding speaker programs, and fosters collaborative relationships to enhance program efficiency and compliance. The analyst also plays a role in managing awards programs by collaborating with Sales Leadership and Corporate Accounts to oversee quarterly, annual, and President's Club awards. This includes managing the ordering, proofing, and delivery of awards, as well as ensuring the sales roster database is updated quarterly. Furthermore, the analyst assists with marketing conferences by collaborating with the Meetings and Marketing teams to ensure seamless execution and coordination of logistics for conferences where the Marketing team is involved. Administrative support is also a key aspect of the role, as the analyst works with the Commercial Operations team to facilitate cross-functional initiatives and projects, constantly seeking opportunities to reduce costs and improve systems. The position may also involve performing ad hoc analysis projects as required, along with other responsibilities as assigned.

Responsibilities

  • Coordinate Commercial sponsorship event processes, including preparing/processing check requests and ensuring timely delivery of payment to vendors.
  • Review sponsorship forms for completion and accuracy.
  • Work closely with the Marketing and Accounting departments to ensure a smooth transition of documents and communication.
  • Maintain a daily cumulative tracker of sponsorship events and payments.
  • Function as an administrator for the sponsorship processing platform.
  • Coordinate application and renewal of any local business licenses or registrations needed to support the commercial organization.
  • Gather required information from internal and external sources to complete applications.
  • Track and communicate the status of new and renewal applications to all stakeholders.
  • Identify and maintain all Commercial Operations contracts, create and keep track of renewal timelines, and create new vendor forms and purchase order (PO) requisitions as needed.
  • Support the management of Supernus' speaker programs by collaborating with Marketing and key stakeholders.
  • Support and review key program deliverables which include budget speaker contracting, event logistics, platform training, data analysis, data reporting, and exception approval.
  • Work with the Marketing department in coordinating speaker training meetings.
  • Maintain open communication with stakeholders, providing prompt and concise information regarding speaker programs.
  • Foster collaborative and efficient working relationships with internal and external stakeholders to increase the efficiency and compliance of Supernus' speaker programs.
  • Coordinate with the Marketing team on the speaker selection process, ensuring alignment with program objectives and compliance standards.
  • Manage speaker contracts once Marketing finalizes negotiations.
  • Manage speaker training with 3rd party vendor and provide ongoing support to ensure effective program execution.
  • Analyze program data and prepare reports with third party vendors for management review.
  • Address and resolve issues or concerns related to Supernus speaker programs.
  • Continuously evaluate and improve program processes and procedures.
  • Stay informed about best practices and compliance regulations related to speaker programs.
  • Collaborate with Sales Leadership, Incentive Compensation, and Corporate Accounts to manage quarterly, annual, and President's Club awards.
  • Manage the ordering, proofing, and delivery of awards.
  • Work with Information Technology (IT) to ensure the award winners list in the sales roster database is updated quarterly.
  • Assess processes and revise timelines as necessary.
  • Collaborate closely with the Meetings and Marketing teams to assist with logistics of conferences where the Marketing team is involved in exhibiting and/or sponsoring, ensuring seamless execution and coordination.
  • Provide administrative support to streamline communication and facilitate efficient planning processes for conferences.
  • Maintain detailed records and reports to track progress and ensure all deadlines are met effectively.
  • Collaborate with the Commercial Operations team to facilitate cross-functional initiatives and projects.
  • Constantly seek opportunities to reduce cost and improve systems.
  • Maintain open communication with all teams and provide prompt answers to requests to determine how to convey concise, clear, and timely selective information.
  • Perform ad hoc analysis projects as required.
  • Other responsibilities and projects as assigned.

Requirements

  • High School Diploma with a minimum of four years of progressive experience or a bachelor's degree.
  • Experience interacting with all levels of management, vendors, consultants, sales teams, and field sales management highly preferred.
  • Strong organizational and communication skills (both verbal and written) are required.
  • Must be technology proficient in various computer applications such as Outlook, PowerPoint, Excel, and Microsoft Word.
  • Flexibility, adaptability, and the ability to organize and manage multiple projects and assignments.
  • Ability to make sound judgment with independent decision-making, with the ability to proceed on own initiative where necessary and when needed.
  • Ability to handle confidential matters and information with discretion and diplomacy and to have a security mindset.
  • Ability to work in a fast-paced environment with the ability to adapt to rapid change.
