The primary role of the Commercial Project Coordinator is to assist the commercial sales team in the bidding, winning, and successful execution of commercial flooring projects. This involves collaborating with manufacturer sales representatives to secure the best possible volume pricing for bids. The coordinator will play a crucial role in verifying winning bids and ensuring that material information is accurately entered into the ordering process. The successful candidate will be expected to learn and adhere to all FLOOR360 procedures related to commercial bidding, pricing, and the electronic entry of customer information and orders into the company's systems. In addition to these responsibilities, the Commercial Project Coordinator will engage in outreach and business development to identify potential new general contractors and design-build firms. This includes ordering samples, collecting product specifications, and reviewing blueprints to understand project requirements. The coordinator will also be responsible for organizing and delivering information to general contractors, reviewing material estimates, and ensuring that all materials and installation processes are correctly included in bids. The role requires strong communication, customer service, and organizational skills, as well as the ability to manage multiple projects simultaneously.

Responsibilities

  • Assist in outreach and business development to identify new general contractors and design-build firms.
  • Order samples and collect product specification sheets, material safety data sheets, and warranty documentation.
  • Read and review blueprints to understand project material and installation requirements.
  • Label, organize, and deliver information to general contractors digitally and/or in physical copies when requested.
  • Review material estimates after completion by estimators to ensure all materials and installation types are understood.
  • Perform outreach to manufacturer sales reps to collect volume-based pricing.
  • Enter pricing and backup documentation in flooring bids.
  • Collect warranty and specification information and order, label, and transmit submittals.
  • Review contracts to ensure the scope matches the bid and provide corrections if needed.
  • Assist in the creation of change orders as required.
  • Work with purchasing, sales, and vendors to release, expedite, and manage materials.
  • Complete necessary forms to initiate material returns or claims.
  • Develop an understanding of lead times to ensure materials are ordered on time.

Requirements

  • High school diploma required; two-year associate's degree or four-year degree desired but not required.
  • Must have a clean driving record and a vehicle capable of getting to and from job sites.
  • Adherence to job-site safety protocols is essential.
  • Computer skills are a must; proficiency with mobile phones, tablets, and desktop computers is required.
  • Ability to read building plans and CAD drawings.
  • Ability to manage multiple projects simultaneously.
  • Strong communication, customer service, and organizational skills are necessary.
  • Must respond to all internal and external communication the same day.
  • Ability to work well in a team setting.
  • Commitment to continuous improvement to achieve efficiencies.
