About the position

The Property Manager position at Greene Resources is a critical role that supports and assists in the management of commercial real estate in accordance with the Management Agreements. This position is responsible for overseeing the day-to-day operations of five commercial office buildings located in West Raleigh, NC. The role encompasses a wide range of responsibilities including accounting, tenant relations, maintenance and repair, security, janitorial services, landscaping, and snow removal. The Property Manager will handle tenant complaints and service requests, ensuring that they are addressed promptly and effectively. Familiarity with the terms of tenant leases is essential for this role, as the Property Manager will assist in the preparation of the annual budget and monitor the financial performance of the properties. The five buildings managed are part of a mixed-use development that features ample surface and covered parking, restaurants, a conference center, a new fitness center, and a central outdoor plaza. The Property Manager will play a key role in maintaining tenant satisfaction and ensuring that the properties are well-maintained and compliant with lease agreements. This position requires a proactive approach to problem-solving and the ability to work under pressure while managing multiple tasks effectively. The Property Manager will also be responsible for coordinating with various vendors and ensuring that all work performed meets the company's quality standards. In addition to managing tenant relations and property operations, the Property Manager will be involved in sustainability initiatives, ensuring that the properties meet Energy Star requirements and conducting annual recertifications. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with tenants, staff, and management. The Property Manager will also be responsible for creating annual budgets and generating financial reports as needed.

Responsibilities

  • Facilitate tenant move-in and move-out processes; maintain superior tenant satisfaction and provide excellent tenant service.
  • Respond to tenant requests/problems in a timely and courteous manner.
  • Monitor tenant work orders directed to maintenance staff to ensure satisfactory resolution of the issue.
  • Ensure that there is 24-hour emergency coverage for the property.
  • Conduct monthly inspections of the property to ensure proper upkeep of the property is being maintained, identify any potential issues and ensure compliance with tenant leases.
  • Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy.
  • Prepare and maintain appropriate tenant lease files, records, correspondence and file notes.
  • Assist with administering tenant occupancy, including providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures and maintenance request procedures.
  • Execute required lease documents in a timely manner.
  • Coordinate entry of all property information into the software program and establish reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance.
  • Monitor all key dates and reporting within the property management system.
  • Coordinate production and ordering of signs, tenant identification, etc.
  • Work with Controller and VP to generate monthly financial reports, variance reports, reforecasting, rent tracking and other items as requested by owner.
  • Maintain sustainability databases for the company to ensure Energy Star requirements are being met and/or maintained. Conduct annual recertification's.
  • Coordinate and schedule appointments, on-site and off-site meetings and conference calls.
  • Collect and organize all property information in a format for quick reference.
  • Oversee vendors who are performing work on the property, reviewing work for quality before authorizing payment of invoices.
  • Ensure the detailed verification of all invoices amounts and ensure proper property coding on invoices.
  • Assist corporate accounting with questions related to the property and resolution of vendor issues.
  • Create annual budgets.

Requirements

  • 3+ years of directly relevant Commercial Real Estate Property Management experience.
  • Customer service experience required.
  • Exceptional communication and organizational skills.
  • Detail oriented with strong accuracy, particularly with numbers.
  • Ability to work under pressure.
  • Self-motivated and self-directed.
  • Ability to assert oneself when needed.
  • Exemplary time management.
  • Ability to work with staff in solving problems and ability to take direction and function as part of a team.
  • Strong working knowledge of Excel, MS Word, and Outlook.
  • Effectively prioritize and multi-task.
  • Excellent interpersonal skills.
  • Strong working knowledge of general office equipment (copiers, fax machines, scanners, etc.).
  • Ability to effectively communicate both orally and in writing with peers, managers and clients.
  • Dependable and flexible as well as possessing the ability to maintain a high level of confidentiality.
  • Must be proactive and initiate follow-through.

Nice-to-haves

  • Familiarity with maintenance accounting software (i.e. Corrigo) a plus.
