About the position

The Commercial Real Estate Bookkeeper / Administrator (Sr. Analyst) at Northern Trust plays a crucial role in supporting the Commercial Real Estate Team by managing bookkeeping and administrative tasks related to asset management, property management, and compliance. This position requires proficiency in commercial real estate bookkeeping, strong organizational skills, and the ability to work independently while ensuring adherence to policies and procedures.

Responsibilities

  • Process Accounts Payable (AP) and Accounts Receivable (AR) using Yardi property management software.
  • Input lease information including tenant details, rents, and renewal options.
  • Run financial reports and track due dates for compliance-related processes.
  • Communicate with team members regarding compliance with internal and regulatory requirements.
  • Prepare monthly reports for meetings, including data collection for Annual Investment Reviews.
  • Process fees and documentation through Yardi and other internal systems.
  • Track insurance documentation and input insurance information into Yardi.
  • Coordinate appraisals and site visits, updating information in Yardi.
  • Maintain a database of vendors, contractors, and consultants for the CRE Team.
  • Assist partners and clients with inquiries regarding business systems and processes.
  • Support process improvement, system development, testing, and training as needed.
  • Organize and update policies and procedures with input from management and team members.
  • Perform compliance functions as directed by division management.
  • Assist with audit and regulatory issue resolution within agreed timeframes.
  • Identify and escalate compliance issues to supervisors.
  • Facilitate discussions and make recommendations to senior management.

Requirements

  • Familiarity with commercial real estate accounting and administration, including leases and settlement statements.
  • Experience with Yardi property management and accounting software is required.
  • Knowledge of commercial real estate property management and accounting, typically gained through education or work experience.
  • Strong attention to detail, particularly regarding compliance policies and procedures.
  • Analytical and communication skills to summarize information and communicate effectively with partners and third parties.
  • Strong organizational skills are essential.
  • A college or university degree and/or 3-5 years of proven work experience is preferred.
