About the position

The Community Affairs Assistant plays a crucial role in managing and maintaining the operations of community facilities, including ballfield reservations, outdoor courts, and pavilion rentals. This position focuses on providing excellent customer service, processing permit requests, and ensuring smooth operations within the Parks and Recreation department.

Responsibilities

  • Manage Parks reservationist email and phone calls during normal business hours.
  • Process in-person and over-the-phone reservation requests.
  • Generate and distribute weekly reports to various stakeholders.
  • Schedule and lead weekly reservations meetings.
  • Manage reservations for ballfields and outdoor courts.
  • Compose Pavilion Reserved cards for interdepartmental deliveries.
  • Manage schedules for lights, water, and electricity for facilities.
  • Respond to ballfield rainout emails and phone calls, including issuing refunds.
  • Monitor rentals and maintain visibility of constituents in facilities.
  • Conduct pre and post inspections of ballfields.
  • Arrange and manage the Ballfield Random Selection Lottery.
  • Generate revenue reports for the Random Selection process.
  • Notify reservation cancellations via email to relevant managers.
  • Attend all required staff meetings and trainings.
  • Be on call for weekend rotations as needed.

Requirements

  • Knowledge of City of Atlanta rental rules and regulations.
  • Excellent customer service skills, completed COA Customer C.A.R.E training.
  • Basic computer skills.
  • Knowledge of iParcs registration system.
  • Proficient organizational skills.
  • Good oral and written communication skills.
  • Ability to plan and organize requests and maintain appropriate documentation.

Benefits
