About the position

The Community Association Manager is responsible for overseeing the management of homeowner associations, serving as a professional advisor to the Board of Directors, and ensuring compliance with governing documents and regulations. This role involves managing day-to-day operations, facilitating meetings, and maintaining positive relationships with board members and homeowners.

Responsibilities

  • Serve as professional advisor to the Board of Directors for each Association
  • Understand and maintain each Association's governing documents, policies, and procedures
  • Understand and maintain all relevant Civil Code regulations and procedures
  • Manage day-to-day items regarding owner architectural change requests, Rules & Regulations violations, maintenance service requests, and work order activities
  • Host and oversee regular Board Meetings, Annual Membership meetings, and Executive Sessions
  • Complete action items following said meetings
  • Prepare and distribute agendas, board packets, and Minutes regarding said Meetings (in accordance with Civil Code standards)
  • Provide and/or oversee recommendations to the Board and/or Committee regarding major capital expenditures as required to maintain the common area
  • Provide vendor management oversight regarding bidding processes, contracts, and scopes of work
  • Collaborate with the Accounting Department to ensure the accuracy of financial statements and invoice processing
  • Advise the Board of availability of funds for projects, monitor AR reports to ensure timely legal action regarding collections
  • Develop and foster positive relationships with Association Board of Directors, Committee members, and general members
  • Conduct property site inspections and walkthroughs as needed
  • Perform other duties and exercise other powers as delegated by the Board of Directors (as permitted per Civil Code)

Requirements

  • A minimum of one (1) year managing Homeowner Associations (HOAs) or other properties is strongly preferred
  • CACM designation(s) is/are strongly preferred
  • Proficient in Microsoft Office (Word, Excel)
  • Proficient in Google Drive (Google Docs, Sheets, Gmail)
  • Self-motivated, proactive, detail oriented and a team player
  • Time management and time critical prioritization skills
  • Ability to multi-task
  • Possess thorough organizational skills
  • Able to present self in a professional demeanor
  • Work effectively in a team environment
