About the position

The Community Ed Operations Specialist - Customer Success is a part-time, temporary role focused on providing support to the Community Ed department within the Parkway-Rockwood School Districts. This position involves serving as the main point of contact for patrons, processing registrations, and offering logistical and operational support in a fast-paced environment. The role aims to enhance the quality of life for residents by ensuring a positive experience in community education programs.

Responsibilities

  • Serve as the main point of contact for patrons through various communication channels.
  • Handle registration-related inquiries including refunds, cancellations, and contracts.
  • Build programs and activities in the online registration system.
  • Produce program reports and rosters as needed.
  • Enter facility scheduling requests for programs and activities.
  • Process and maintain Golden Key Card/Gold Card program information.
  • Maintain background check database and process as needed.
  • Collect and review Purchasing Card log information.
  • Reconcile mileage expenses.
  • Maintain custodial overtime spreadsheet.
  • Process facility usage payments.
  • Handle fee assistance requests and related accounting tasks.
  • Manage payment collections as needed.
  • Develop and maintain payment plans for customers to avoid collections.
  • Post fees and credits to patron accounts when necessary.
  • Prepare deposits and post cash receipts.
  • Assist with scheduling and preparation of department meetings and events.
  • Maintain program calendars as needed.
  • Sort and deliver mail to staff.
  • Order and maintain office supplies as needed.
  • Provide support to the facility usage office as determined by the Director of Community Ed.

Requirements

  • Minimum high school diploma or GED required.
  • Minimum three years' experience providing support to an organization preferred.
  • Excellent communication skills and proven success in providing quality customer service.
  • Proven ability to handle multiple tasks and prioritize assignments with attention to detail and deadlines.
  • Proficient in MS Office software applications.

Nice-to-haves

  • Experience in a customer service role within an educational setting.
  • Familiarity with online registration systems.
