About the position

The Community Events Analyst at San Jose State University plays a pivotal role in the planning and execution of curricular programming events for the College of Humanities and the Arts. Reporting directly to the Dean of Humanities & the Arts, this position is essential for collaborating with faculty, staff, and students to ensure that all sponsored events are well-organized and meet the college's standards for quality and engagement. The Community Events Analyst will work closely with the Director of Public Programming, Marketing Coordinator, and Project Specialist to support the production of events that align with the college's brand identity, mission, and vision. This role requires a commitment to fostering relationships with various stakeholders, including university personnel, community leaders, and public supporters, to create a diverse range of events that enhance the college's outreach and visibility. The responsibilities of the Community Events Analyst include developing and planning timelines for events, monitoring budgets, and providing guidance to faculty regarding budgetary matters. The analyst will coordinate outreach events within the university and the surrounding community, ensuring that all logistical aspects are managed effectively. This includes entering purchase orders, tracking budget allocations, and coordinating staffing needs for events ranging from intimate gatherings to large-scale galas. The analyst will also be responsible for creating engaging content to publicize events, supervising student assistants, and maintaining the college's online presence through updates to directories, calendars, and social media platforms. Additionally, the analyst will assist in running reports and creating surveys related to Directed Self Placement courses, further contributing to the college's academic initiatives. This position requires flexibility, as it may involve evening and weekend work to accommodate the scheduling of events. The Community Events Analyst must possess strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively. The role is integral to the success of the college's programming efforts and requires a proactive approach to problem-solving and communication.

Responsibilities

  • Develop and plan timelines for events, monitor budgets, and provide faculty budgetary guidance and support.
  • Coordinate Humanities and Art (H&A) Artistic Excellence Programming outreach events within SJSU, City of San Jose, and surrounding community.
  • Enter purchase orders, direct payments, reimbursements, travel authorizations, and travel reimbursements for AEPG events and other H&A events.
  • Track budget allocations and expenses for AEPG events and other events.
  • Coordinate with FD&O, Events Center, and Purchasing as needed.
  • Coordinate staffing needs with the College and department(s) associated with the event, including setup, event duration, and breakdown.
  • Create engaging content to announce and publicize events.
  • Hire, train, and supervise student assistants.
  • Update College directories, calendars, websites, and other social media avenues to drive engagement.
  • Assist with running reports and creating surveys of Directed Self Placement courses.
  • Release student holds in PeopleSoft.
  • Design and create engaging text, image, and video content for the College website and social media accounts.

Requirements

  • A bachelor's degree and/or equivalent training.
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Nice-to-haves

  • Bachelor of Arts or Bachelor of Science related to disciplines in Humanities and Arts or business.
  • Four (4) years of related experience in office management, event management, project management, and customer service.
  • Experience with computers, relational databases, and spreadsheet applications.
  • Experience in the supervision and training of staff and familiarity with university policies and department procedures.
