About the position

The Community Manager - Property Manager is responsible for ensuring the efficient day-to-day operations of the property. This role involves preparing and filing leases, promoting the property, and retaining current tenants. The Community Manager will manage the properties in the most efficient and profitable manner possible, given existing marketing conditions, while creating the greatest possible satisfaction and well-being of all individuals associated with the property, including employees and residents. This position is crucial in achieving the highest possible net operating income through effective cost control, revenue maximization, and delinquency management programs. The Community Manager will develop yearly operating budgets and sales/marketing plans, accurately preparing and conveying all operational and financial data in a timely manner. They will work closely with property owners to identify goals and objectives, ensuring that these are clearly described in the yearly operating budgets and sales/marketing plans. Monthly performance and budget projections will be analyzed and compared to the annual management plan and budget, with strategies adjusted accordingly. In addition to financial oversight, the Community Manager will ensure compliance with tenant leases, regulatory items, and management contracts. They will oversee the collection of rent, payment of expenses, and compliance with lease terms, while also providing service to commercial tenants by serving as a key point of contact for information, cleaning, maintenance, and repair needs. Maintaining high customer service standards is essential, as is the ability to communicate effectively with residents, employees, vendors, supervisors, and owners. The role also includes developing and implementing a sales and marketing plan that maximizes rental income and results in high occupancy and competitive pricing. The Community Manager will ensure that all physical aspects of the property are fully functional and attractive, inspecting grounds, buildings, and apartment units regularly. They will identify and implement creative programs to increase the property's value and improve services to residents, while adhering to the company's safety programs and promoting safe work practices among on-site staff. This position requires a proactive approach to problem-solving and the ability to manage multiple tasks effectively.

Responsibilities

  • Manage the properties efficiently and profitably, ensuring satisfaction for employees and residents.
  • Achieve the highest possible net operating income through effective cost control and revenue maximization.
  • Develop yearly operating budgets and sales/marketing plans, preparing operational and financial data accurately.
  • Work with owners to identify property goals and objectives, ensuring they are reflected in budgets and plans.
  • Analyze monthly performance and budget projections, adjusting strategies as necessary.
  • Create and monitor commercial budgets, CAM charges, and rent escalations based on leases.
  • Ensure compliance with tenant leases, regulatory items, and management contracts.
  • Oversee collection of rent and payment of expenses, ensuring compliance with lease terms.
  • Provide service to commercial tenants, acting as a key point of contact for their needs.
  • Maintain high customer service standards and promptly respond to resident requests and complaints.
  • Communicate effectively with residents, employees, vendors, supervisors, and owners.
  • Develop and implement a sales and marketing plan to maximize rental income and occupancy.
  • Ensure all physical aspects of the property are functional and attractive, inspecting regularly.
  • Identify and implement programs to increase property value and improve resident services.
  • Understand and analyze monthly financial statements, writing clear property owner reports.
  • Adhere to safety programs and promote safe work practices among staff.
  • Complete all required reports accurately and timely.
  • Train and motivate staff to effectively lease apartments and sell property services.
  • Manage the property lease renewal program to maximize resident renewals.
  • Maintain thorough product knowledge of the property and competition through site visits and surveys.
  • Prepare lease-related paperwork accurately and timely, explaining documents to residents.
  • Follow policies and procedures in the qualification and acceptance of residency applicants.
  • Identify and analyze problems, developing decisions that align with property objectives.
  • Plan and organize workloads effectively, disseminating necessary information to staff.
  • Be observant for potential hazards or dangerous situations for residents and staff.
  • Attend to routine operational issues including policies, procedures, and legal matters.
  • Authorize purchases and approve invoices within corporate guidelines.
  • Stay updated on industry standards and legislation impacting property management.
  • Be available 24/7 for emergency calls.

Requirements

  • High school education or equivalent required.
  • Minimum of 5 years' previous experience on Class A+ property managing residential, commercial, and retail spaces.
  • Strong knowledge of property management and tenant/landlord practices, laws, rules, and regulations.
  • Good command of commercial management and leasing practices.
  • Valid driver's license required.
  • Ability to walk up 3 flights of stairs multiple times a day, totaling 5,000 steps/day, including in inclement weather.
  • General knowledge of Microsoft Windows-based PCs required.
  • High proficiency in Microsoft Office apps including Outlook, Word, Excel, PowerPoint, OneNote & OneDrive/SharePoint.
  • Experience with collaboration apps including Teams, Zoom & WebEx.
  • Experience with Apple iOS devices required.
  • Yardi and/or other management software knowledge highly preferred.
