About the position

True Property Management, LLC is seeking a dedicated Community Manager to oversee the daily operations of our apartment communities in Oklahoma City, OK. The Community Manager will play a crucial role in ensuring that our properties are well-managed and well-maintained, while also fostering a positive environment for both staff and residents. In this role, the Community Manager will be responsible for supervising and planning the day-to-day activities of the apartment community. This includes implementing company policies and procedures to ensure compliance with regulatory agencies and investors. The ideal candidate will have a strong background in property management, with at least two years of experience, and will demonstrate the ability to lead a team effectively. The Community Manager will also be responsible for hiring, training, and supporting staff, ensuring that all administrative processes are handled in a timely manner, and maintaining accurate records of community transactions. The Community Manager will utilize marketing strategies to attract prospective residents, ensure that leasing practices comply with all relevant laws, and manage the collection of rents and late fees. Additionally, the role involves overseeing maintenance requests, ensuring that the property is kept in a clean and safe condition, and managing relationships with outside contractors. The Community Manager will also prepare annual budgets and income projections, review weekly reports for accuracy, and develop community policies and rules to enhance the living experience for residents.

Responsibilities

  • Screen, hire, orient, and train new personnel using successful techniques and company directives.
  • Provide support to staff to encourage teamwork and lead by example in creating a harmonious environment.
  • Ensure all administrative processes involving personnel are handled on a timely basis, including performance evaluations and salary reviews.
  • Determine transitions and promotions for on-site personnel.
  • File reports regarding any work-related injuries.
  • Maintain accurate records of all community transactions and submit them on a timely basis, including rent rolls and delinquency reports.
  • Prepare annual budgets and income projections in a timely and accurate manner.
  • Ensure that all rents and late fees/check charges are collected, posted, and deposited in a timely manner.
  • Review, code, and approve invoices for payments and make daily bank deposits.
  • Ensure the property is rented to the fullest capacity and utilize marketing strategies to secure prospective residents.
  • Ensure leasing practices conform to federal, state, and local law, and obtain credit and criminal reports for all prospective residents.
  • Prepare, process, and sign all leases and related forms or supervise others in doing so.
  • Collect rents and late charges, handle delinquent accounts, or supervise others in doing so.
  • Aggressively pursue lease renewals and send notices out at least 90 days before expiration.
  • Supervise leasing employees, ensuring good closing techniques and handle evictions and landlord liens.
  • Maintain all resident files, including move-in sheets and move-out notices.
  • Ensure that residents are provided with a clean, safe, and well-maintained community.
  • Ensure that maintenance requests are handled on an immediate one-call basis and that residents are notified of delays.
  • Maintain the common areas and ensure the availability of make-ready vacant units.
  • Oversee risk management and emergency procedures, continually inspecting the property and improvements.
  • Review weekly reports for accuracy and completeness and supervise outside contractors working on the property.
  • Prepare the property for code inspections and report any violations of company policy by employees.
  • Develop and enforce community policies and rules.

Requirements

  • Minimum of 2+ years of property management experience.
  • Ability to apply logical thinking principles to define problems and initiate appropriate courses of action.
  • Achieve Fair Housing certification before interaction with prospects or residents.
  • Competence in personal computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and community software applications.
