About the position

The Community Manager is responsible for effectively managing the office center, ensuring that the needs of members are addressed and met, and that upcoming vacancies are filled. This role requires a friendly demeanor to interact effectively with potential new members, existing members, and their guests. The Community Manager will oversee the Community Associate's duties, delegating tasks as necessary to ensure smooth operations within the center. In this position, the Community Manager will handle various day-to-day responsibilities, including booking conference rooms for clients, managing mail services, and sending out center-wide communications regarding building operations and events. They will also greet incoming clients, maintain common areas, and ensure that kitchen supplies are restocked. Additionally, the Community Manager will be responsible for operational tasks such as placing orders for supplies, scheduling maintenance services, and addressing client complaints proactively. Sales responsibilities include creating and maintaining relationships with local brokers and lead companies, updating lead sheets and pipelines, and ensuring that the rent roll is current with new client information. The Community Manager will also provide personalized welcome packets to new tenants, ensuring they have all necessary information about the center and its services. This role is crucial for maintaining a professional and welcoming atmosphere in the office center, contributing to the overall satisfaction of members and the success of the business.

Responsibilities

  • Book conference rooms for clients and record usage.
  • Manage daily postage for clients, including FedEx requests and package pickups.
  • Send out center-wide emails regarding building operations, notices, and events.
  • Provide phone answering and call screening services.
  • Greet all incoming clients and offer refreshments.
  • Keep common spaces neat and organized, including kitchen supplies.
  • Ensure kitchen and common supplies are restocked.
  • Place monthly orders for kitchen and office supplies.
  • Schedule janitorial and maintenance services, ensuring completion to standards.
  • Address client complaints or issues proactively.
  • Coordinate phone line setup and assist with voicemail setup.
  • Maintain an Excel spreadsheet with client information.
  • Oversee monthly billing and manage Community Associate tasks.
  • Create and maintain relationships with local brokers and lead companies.
  • Update weekly lead sheets and pipeline statuses for leads.
  • Keep the floor plan and rent roll current with new client information.
  • Provide personalized welcome packets to new tenants.

Requirements

  • High school diploma or GED required.
  • Bachelor's Degree preferred.
  • 1 year of management experience preferred.
  • Strong communication skills.
  • Ability to multitask effectively.
  • Friendly and upbeat demeanor.
  • Comfortable giving tours and leasing office space.

Nice-to-haves

  • Experience with Microsoft Excel.
