About the position

CloudTen Residential is seeking a Multi-Site Community Manager for Parallax Apartments and Sandringham Apartments in Portland, OR. The ideal candidate will have prior property management experience and be highly organized, with the ability to communicate effectively and present a positive, professional image. The Community Manager will be responsible for overseeing all phases of operations for income-producing properties, including personnel functions, leasing, community maintenance, monitoring market conditions, fiscal oversight, advertising, and resident relations. This role requires a commitment to providing stellar service and maintaining a positive living experience for residents. In this position, the Community Manager will work closely with the Regional Manager to develop a cohesive team that effectively promotes the quality and professionalism of the organization. Regular inspections of property common areas, apartment units, and grounds will be conducted to ensure high standards are maintained. The Community Manager will also be responsible for the timely and accurate submission of payroll summary sheets and ensuring effective move-in and move-out administration. Financial responsibilities include ensuring all rent payments are collected, managing daily community deposits, distributing non-payment notices, and adhering to company accounting directives. The Community Manager will prepare and follow the community operating budget, making recommendations for maximizing income and minimizing expenses. Marketing and leasing duties involve promoting apartments, demonstrating features to prospective residents, and ensuring accurate completion of residential lease administration. The Community Manager will analyze market conditions to anticipate changes that could affect profitability and supervise community recreational and social activities. Leadership responsibilities include hiring, training, coaching, and evaluating on-site employees, providing clear instructions for effective management, and conducting regular staff meetings. Customer service is paramount, with the Community Manager expected to handle resident service requests, maintain positive resident relations, and ensure a clean, safe, and well-maintained community. The role also requires adherence to Fair Housing Policy and other relevant regulations.

Responsibilities

  • Work closely with the Regional Manager to develop an effective team.
  • Inspect property common areas, apartment units, and grounds regularly.
  • Offer recommendations for improvements to the overall operation of the community.
  • Ensure effective move-in and move-out administration with consistent apartment inspections.
  • Demonstrate understanding of financial and operational reporting requirements.
  • Ensure timely and accurate submission of payroll summary sheets for the team.
  • Collect all rent payments from current and previous residents.
  • Ensure daily community deposits regarding rent collections and miscellaneous income.
  • Distribute non-payment notices to delinquent residents and follow up on rent collection or eviction proceedings.
  • Adhere to company accounting directives, including weekly and monthly reports, income accounting, and daily bank deposits.
  • Maintain knowledge of federal and state laws regarding the collection of delinquent accounts.
  • Report or recommend community capital improvements or repairs, and assist in job specifications and contract negotiations.
  • Review all renewals and prepare budget increase recommendations according to the operating budget and market conditions.
  • Prepare and follow community operating budget guidelines, making recommendations to maximize income and minimize expenses.
  • Market apartments by promoting rentals via phone and in person, demonstrating apartments to prospective residents, and securing commitments and deposits.
  • Ensure daily input of resident information related to leasing traffic, move-ins, move-outs, and apartment conditions.
  • Complete residential lease administration accurately.
  • Maintain up-to-date knowledge of market and competitive properties.
  • Ensure timely renewals of existing residents and support overall marketing efforts.
  • Analyze and monitor community market conditions to anticipate changes affecting profitability.
  • Monitor closing ratios of leasing associates and provide additional training as necessary.
  • Supervise planning and implementation of community recreational and social activities.
  • Ensure staff implements resident retention and renewal programs.
  • Inspect property common areas, models, and vacant units regularly and complete community inspection reports.
  • Review and approve or reject resident applications.
  • Assist in handling resident service requests and concerns as required.
  • Conduct follow-up activity with new and current residents to maintain positive relations.
  • Ensure residents are provided with a clean, safe, and well-maintained community.
  • Prepare security deposit dispositions immediately after move-out.
  • Maintain high standards of resident service and relations.
  • Collect delinquent rents and notify supervisor for potential unlawful detainer actions.
  • Ensure maintenance requests are handled efficiently and within 24 hours.
  • Supervise contractors working on the property and represent CloudTen professionally.
  • Maintain a positive businesslike attitude and adhere to Fair Housing Policy.

Requirements

  • 2 years of property management experience preferred.
  • Reliable transportation and a valid driver's license are required.
  • Professional appearance and strong customer service skills.
  • Experience with property marketing, Entrata, Excel, and OneSite preferred.
  • Ability to communicate effectively and maintain a positive professional image.

Nice-to-haves
