About the position

The position involves providing data entry and office support within a legal environment, specifically focusing on entering criminal case information into a database and interacting with law enforcement personnel. The role requires effective communication and the ability to handle public inquiries while maintaining professionalism in a high-pressure setting.

Responsibilities

  • Responds to public inquiries by answering telephones and assisting visitors and community members.
  • Works under steady pressure with frequent interruptions and a high degree of public in-person contact or by telephone.
  • Responds to visitors or witnesses who may be displeased, distressed, angry or difficult to assist.
  • Properly follows internal security and safety procedures to ensure the safety of the office building, visitors, and colleagues.
  • Provides general information to the public and outside agencies while maintaining confidentiality of records.
  • Interacts with various criminal justice agencies and court personnel to assist visitors and callers.
  • Provides information on procedures and services to employees and the public, and maintains a working inventory of office supplies and equipment.
  • Distributes mail addressed to the District Attorney and routes it to the proper division or employee.
  • Reviews and mails letters addressed to victims for cases being prosecuted by the District Attorney's office.
  • Provides administrative support to attorneys and other employees expecting visitors or evidence acceptance related to cases.
  • Prepares and distributes office and court documents and enters case information into multiple databases.
  • Reviews documents received from other agencies, victims, or witnesses and enters them into the database.

Requirements

  • One (1) year experience performing general office support or clerical duties in a professional office setting such as a government office, clinic, or legal office.
  • Experience with a Prosecutor Information Management System (PIMS) or an Offender Management System (OMS) is preferred.
  • Ability to pass an initial criminal background check and maintain compliance with Bureau of Criminal Information (BCI) requirements.

Nice-to-haves

  • Experience with prosecution or law enforcement case management software.
