About the position

The Community Office Associate position in Salt Lake County involves providing essential data entry and office support within a legal environment. The role focuses on entering criminal case information into databases, interacting with law enforcement personnel, and assisting the public with inquiries. This entry-level position requires effective communication skills and the ability to manage multiple tasks under pressure while maintaining confidentiality and professionalism.

Responsibilities

  • Provide data entry and office/program support.
  • Enter criminal case information into the database as part of the file creation process.
  • Respond to public inquiries by answering telephones and assisting visitors and community members.
  • Route calls to the appropriate division, assigned attorney, or employee.
  • Maintain a cooperative, professional, and appropriate attitude in the workplace under pressure.
  • Follow internal security and safety procedures to ensure the safety of the office building, visitors, and colleagues.
  • Provide general information to the public and outside agencies while maintaining confidentiality of records.
  • Interact with various criminal justice agencies and court personnel to assist visitors and callers.
  • Monitor and maintain a working inventory of office supplies and equipment.
  • Distribute mail addressed to the District Attorney and route it to the proper division or employee.
  • Review and mail letters addressed to victims for cases being prosecuted by the District Attorney's office.
  • Provide administrative support to attorneys and other employees regarding visitors, witnesses, or evidence acceptance.
  • Prepare and distribute office and court documents and enter case information into multiple databases.
  • Review documents received from other agencies, victims, or witnesses and enter them into the database.

Requirements

  • One (1) year experience performing general office support or clerical duties in a professional office setting such as a government office, clinic, or legal office.
  • Experience with a Prosecutor Information Management System (PIMS) or an Offender Management System (OMS) is preferred.
  • Ability to pass an initial criminal background check and meet Bureau of Criminal Information (BCI) requirements.

Nice-to-haves

  • Experience with prosecution/law enforcement case management software.
