About the position

The Community Support Specialist is responsible for providing administrative services to various stakeholders including Regional Directors, Association Managers, Boards of Directors, Committees, Homeowners, and Vendors. This role focuses on managing the architectural modifications process, ensuring effective communication and workflow management, and supporting the daily operations of the organization as directed by the Community Support Services Team Lead.

Responsibilities

  • Engage with homeowners, boards, committees, and internal teams to facilitate applications for alterations, including collecting deposits and fees.
  • Track approval status and coordinate events such as image collection, initial inspections, and permits.
  • Communicate proactively with homeowners throughout the architectural modification process.
  • Coordinate post-approval steps including communication notices, scheduling inspections, and facilitating deposit returns.
  • Leverage systems like Zendesk, Connect, and E-Apply for intake, tracking, and workflow management of architectural modifications.
  • Send out mass mailings and electronic correspondence via letters, emails, and phone blasts.
  • Maintain electronic records and update reports as needed.
  • Support property transition processes and manage property records.
  • Ensure compliance with FirstService Residential Global Service Standards and maintain a high standard of conduct.

Requirements

  • High School diploma or equivalent.
  • Minimum 4 years of administrative experience.
  • Some college and/or job-related education preferred.
  • Background in customer service, property management, and/or real estate.
  • Exceptional written and verbal communication skills.
  • Excellent spelling and proof-reading abilities.
  • Ability to prioritize and multi-task effectively.
  • Collaborative attitude and team player.
  • Highly organized and detail-oriented.

Nice-to-haves

  • Experience with data research and analysis.
  • Confident in using computer software programs such as Microsoft Word, Excel, and Adobe Acrobat.
