About the position

The Community Support Specialist at Blakeford is a part-time role focused on providing exceptional customer service and administrative support within the community. This position involves greeting residents, family members, and visitors, managing incoming calls, and assisting with various clerical duties to ensure a smooth operation of the front office. The role is essential in creating a welcoming environment and addressing the needs of residents and staff effectively.

Responsibilities

  • Greet residents, family, visitors, and staff pleasantly and assist them as needed.
  • Communicate necessary information to residents and family, addressing their concerns in a timely manner.
  • Assist everyone who enters the Blakeford campus through the Independent Living entrance.
  • Work with Transportation Services to fulfill resident requests for transportation efficiently.
  • Direct administrative workflow and scheduling of transportation for Independent Living residents.
  • Prepare Maintenance and Housekeeping Work Orders as requested by residents and/or personnel.
  • Maintain the Work Order Tracking System.
  • Ensure the Front Office is organized, presentable, and running smoothly.
  • Assist the Administrator of Independent Living Services directly.
  • Answer phone calls professionally, assisting callers and routing them appropriately.
  • Write receipts for rent and miscellaneous payments to residents.
  • Sort incoming mail, weigh outgoing mail, and sell stamps as needed.
  • Order office supplies for administrative staff.
  • Assist the Marketing Director with various administrative duties.
  • Support Management with special projects and tasks as assigned.

Requirements

  • High school diploma or GED; or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Basic personal computer skills, including e-mail, word processing, spreadsheet, and graphics.

Nice-to-haves

  • Experience in customer service or administrative roles.
  • Familiarity with office management procedures.
