About the position

As a Community Support Specialist at Lifespace, you will play a pivotal role in enhancing the quality of life for our residents by providing exceptional support and leadership within the Business Office team. This position is designed for individuals who are passionate about making a difference in the lives of seniors and are committed to delivering a purpose-driven experience. You will be responsible for supervising the concierge team, which includes hiring, termination, disciplinary actions, scheduling, and overseeing all related duties. Your leadership will ensure that the team operates efficiently and effectively, contributing to the overall success of our community. In addition to supervisory responsibilities, you will manage various administrative tasks that are crucial for the smooth operation of the office. This includes entering fixed asset requests into the Enterprise Resource Planning (ERP) system for approval, printing and distributing monthly resident statements, and guiding residents to centralized billing for any inquiries they may have. You will also gather, compile, verify, and analyze information for the executive's use in memos, letters, reports, speeches, and presentations, ensuring that all communications are clear and professional. Your role will also involve providing support and backup to other teams, including human resources, customer service, operations, marketing, and sales. You will coordinate large, complex meetings that may span multiple days and locations, requiring excellent organizational skills and attention to detail. A high degree of confidentiality is required in this position, as you will be handling sensitive information. Additionally, you will prepare various documents such as Word, Excel, and PowerPoint presentations, agendas, reports, and special projects for different audiences and stakeholders. Monitoring and reviewing expenditures related to the department's budget will also be part of your responsibilities, ensuring that financial resources are managed effectively.

Responsibilities

  • Supervise the concierge team including hiring, termination, disciplinary actions, and scheduling.

Requirements

  • Minimum of two years supervisory or administrative experience in healthcare.

Nice-to-haves

  • Experience in Business Office, Office Manager, and/or HR Assistant roles.
