The Community Support Specialist plays a crucial role in supporting the company's financial operations related to a portfolio of communities. This position involves completing accounting and bookkeeping tasks, ensuring accuracy in financial transactions, and facilitating effective communication with residents and vendors. The specialist will be responsible for preparing financial closeouts, processing payables, and managing resident accounts to maximize revenue. In this role, the Community Support Specialist will contribute to enhancing the consumer experience through various communication channels, including phone and email. They will conduct detailed reviews of operational expenses, ensuring that all payments are reconciled and coded correctly. The specialist will also handle communication with residents regarding their account balances, implement procedures for collecting on delinquent accounts, and enforce lease contracts. Additionally, they will follow established procedures for regaining possession of apartments and coordinate with legal representation as necessary. The position requires a thorough review of final accounting procedures to ensure accurate billing and minimize liability for damages. The Community Support Specialist will also assist with administrative tasks related to the resident lifecycle, including move-in and move-out procedures, resident renewals, and file audits. By promoting resident satisfaction and retention, the specialist will respond to inquiries and resolve account-related issues in a timely manner, contributing to the overall success of the community operations.

Responsibilities

  • Contributes to and facilitates an optimized consumer experience in a virtual environment via phone, email, or other technologies.
  • Conducts detailed reviews and processes onsite operational expenses for payment by reconciling work performed, confirming receipt of goods, and coding expenses to appropriate Chart of Account codes.
  • Manages communication between the vendor/contractor, accounting, and the client/owner as needed.
  • Communicates with residents regarding account balances, implements procedures for collecting on delinquent accounts, and enforces lease contracts to maximize revenue.
  • Follows the Company's established procedures related to regaining possession of apartments by following proper notice requirements and filing documents with legal representation.
  • Ensures proper communication and coordination of the processes for representation in court with local onsite teams and legal counsel.
  • Conducts detailed reviews and processes onsite operational expenses for payment by reconciling work performed or products purchased, codes expenses to appropriate Chart of Account codes.
  • Coordinates setting up new vendors, contractors, and other service providers for payment, and resolves invoice and payment disputes.
  • Reviews utility billing resident charges to ensure accuracy and coordinates with onsite teams to address unit level discrepancies.
  • Assists with administrative paperwork within the resident lifecycle, including move-in and move-out procedures, resident renewal processes, and resident file audits.
  • Promotes resident satisfaction and retention by responding to questions and requests in a timely manner.

Requirements

  • Experience in investment management or related field.
  • Strong accounting and bookkeeping skills.
  • Excellent communication skills, both verbal and written.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in financial software and Microsoft Office Suite.
