About the position

The Community Support Specialist at Catholic Community Services plays a vital role in providing excellent customer service and administrative support within a diverse environment. This position is responsible for creating a welcoming atmosphere, assisting clients and visitors, and ensuring safety and security in the facility. The specialist will engage with individuals seeking services, respond to emergencies, and support various programs while maintaining a professional demeanor.

Responsibilities

  • Maintain a welcoming, orderly, and safe environment by greeting and directing clients, staff, and visitors.
  • Provide culturally-responsive customer service and treat others with compassion and dignity.
  • Provide information and referral to individuals seeking CCS services.
  • Provide crisis intervention to de-escalate emergent situations.
  • Respond to emergencies including medical, mental health, and social crises; contact appropriate staff and/or outside service providers.
  • Enforce building and agency policies to maintain security.
  • Answer a multi-line phone system and direct callers to appropriate staff or community resources.
  • Maintain current resources and agency information, providing accurate information to callers and visitors.
  • Monitor appointments, notify staff of visitors' arrival, and provide appropriate instructions to visitors.
  • Process incoming and outgoing mail for RCC and inform appropriate programs/staff of deliveries/packages and incoming faxes.
  • Perform a variety of clerical duties, such as ordering and stocking office supplies, checking voicemail, and forwarding messages.

Requirements

  • Customer service experience.
  • Ability to prioritize competing activities while maintaining a professional and calm attitude.
  • Ability to respond and work with vulnerable populations, including those experiencing poverty or homelessness.
  • Excellent communication, organization, and planning skills.
  • Basic knowledge of Microsoft Office applications and web navigation.
  • Demonstrates mature, responsible judgment in previous positions held.
  • Demonstrates the necessary attitudes, knowledge, and skills to deliver culturally competent services and work effectively in multi-cultural situations.
  • Willingness to support and uphold the mission, beliefs, and values of Catholic Community Services and Catholic Housing Services.
