About the position

The Community Support Specialist plays a crucial role in providing administrative support to various stakeholders including Regional Directors, Association Managers, and homeowners. This position is essential for the daily operations of the organization, ensuring effective communication and coordination among different parties involved in community management.

Responsibilities

  • Provide administrative support to Regional Directors and Association Managers as needed.
  • Distribute financial statements and send out correspondence via letters, emails, and phone blasts.
  • Maintain and update community and public websites as applicable.
  • Assist with special projects such as directories and board reference book assembly.
  • Prepare for annual meetings, monthly board meetings, and special meetings; attend if requested.
  • Update and maintain reports and on-call sheets.
  • Assist with FHA/VA approval and renewal processes.
  • Handle data entry and document uploads.
  • Transition property files and assist with architectural modification applications and approvals.
  • Act as a receptionist backup by answering phones and routing calls accordingly.
  • Open and distribute incoming mail and handle package deliveries.

Requirements

  • High school diploma required.
  • Minimum of four years of administrative experience.
  • Some college and/or job-related education preferred.
  • Background in customer service, property management, and/or real estate is beneficial.
  • Exceptional written and verbal communication skills.
  • Excellent spelling and proofreading abilities.
  • Confident with data research and analysis.
  • Ability to prioritize and multi-task effectively.
  • Ability to work independently and collaboratively as a team player.
  • Exceptional interpersonal skills and highly organized.
  • Detail-oriented with a consistent professional demeanor.
  • Ability to work efficiently under pressure and handle change positively.
  • Open to constructive criticism and reliable.

Nice-to-haves

  • Experience with Microsoft Word, Excel, and Adobe Acrobat X.
