About the position

The Complex Accounts Receivable Clerk at the Renaissance Las Vegas Hotel plays a crucial role in managing the financial transactions related to guest billing and collections. This position is responsible for ensuring that all guest billing is reviewed, processed in a timely manner, and communicated effectively, adhering to the policies and procedures set forth by Highgate Hotels. The clerk will assist in establishing customer credit, which includes managing the application process, conducting reference checks, setting credit limits, and maintaining direct bill listings. This role requires a keen attention to detail and the ability to provide customers with accurate invoices, statements, and schedules, ensuring that all inquiries are addressed promptly across the hotel cluster. In addition to billing responsibilities, the Complex Accounts Receivable Clerk will maintain an efficient collection process. This includes organizing filing systems, issuing demand letters, monitoring returned checks and chargebacks, and performing collection calls. The clerk will also prepare bad debt write-offs and ensure proper internal controls by monitoring various ledgers, including the guest ledger and advance deposit ledger. Financial reporting is another key aspect of this role, as the clerk will prepare reports in accordance with Highgate Hotel requirements, meeting various deadlines such as month-end aging reports and weekly transmissions to the Corporate Office. The position also involves attending and contributing to periodic meetings to foster positive working relationships among employees, which is essential for improving morale and productivity. The clerk will be expected to keep their supervisor informed of any unusual events or deviations from established policies and procedures. A thorough understanding of various credit accounts, including Group, Airlines, and Wholesale accounts, is necessary to ensure overall guest satisfaction and maximize productivity. The role requires multitasking and prioritizing departmental functions to meet deadlines across all properties, while maintaining a warm and friendly demeanor at all times.

Responsibilities

  • Assist the sales effort in establishing customer credit in accordance with Highgate Hotel's policies and procedures.
  • Provide customers with accurate and timely invoices, statements, and schedules.
  • Respond effectively to customer inquiries in a timely fashion across all hotels within the market cluster.
  • Communicate all issues and/or disputes to operating departments and supervisor.
  • Maintain an efficient collection process including an organized filing and tracing system, issue demand letters, monitor returned checks and chargebacks, perform collection calls, and prepare bad debt write-offs.
  • Ensure proper internal control by monitoring the guest ledger, advance deposit ledger, and any other related subsidiary ledgers.
  • Monitor and prepare financial reports in accordance with Highgate Hotel requirements meeting various due dates.
  • Attend and contribute to periodic meetings to maintain favorable working relationships between employees.
  • Keep supervisor informed of any unusual events and/or deviations of policies or procedures.
  • Develop an understanding of various credit accounts including Group, Airlines, and Wholesale accounts.
  • Ensure overall guest satisfaction and maximize productivity.

Requirements

  • High School diploma or equivalent required.
  • At least one year of progressive experience in a hotel or related field preferred.
  • Ability to understand and utilize basic computer equipment and applications, including word processing and spreadsheet applications.
  • Must be able to effectively communicate both verbally and written, with all levels of employees and guests in an attentive, friendly, courteous, and service-oriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask and prioritize departmental functions to meet deadlines across all properties.
  • Maintain high standards of personal appearance and grooming, including wearing the proper uniform and nametag.
  • Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.
