About the position

The Compliance Legal Assistant position at WilliamsGautier is a full-time role based in Tallahassee, FL, designed to support the compliance practice group of the firm. This group is dedicated to providing legal services and regulatory guidance on a variety of issues, including compliance, legal audits, institutional matters, mergers, contracts, and day-to-day business operations. The role is crucial in maintaining the strong administrative support system that enables the attorneys to excel in their practice. As a Compliance Legal Assistant, you will report directly to two attorneys within the Credit Union Compliance Group and will also assist the practice group Paralegal. Your responsibilities will include managing client communications, maintaining organized files, and performing general office duties. The ideal candidate will be detail-oriented, proactive, and capable of prioritizing time-sensitive tasks. The firm is open to training the right individual, but certain skills are non-negotiable, such as the ability to seek out efficiency improvements and a commitment to professional office etiquette. The essential tasks of this position include intercepting attorney calls, scheduling appointments, reviewing and organizing attorney work products, proofreading documents, managing travel arrangements, and handling various administrative tasks as delegated. This role is integral to the smooth operation of the compliance practice group and requires a candidate who enjoys providing critical support to busy executives while maintaining a high standard of professionalism.

Responsibilities

  • Intercept attorney calls and arrange phone conferences.
  • Schedule client management visits and other appointments for attorneys via their MS Outlook calendars.
  • Review MS Outlook folders, print and follow-up on attorney work products sent by attorneys.
  • Initiate, develop, and maintain organized files (both paper and electronic), scanning and pulling materials as requested.
  • Monitor and update attorney task lists within larger compliance area task list.
  • Proofread and finalize letters and other documents as needed.
  • Review and post attorney time for billing purposes.
  • Book travel arrangements such as flight, hotel, and rental car.
  • Communicate professionally with internal and external players (in person, over the phone, over email).
  • Handle a variety of administrative tasks as delegated.

Requirements

  • High school degree or equivalent, some college preferred.
  • 5+ years of professional administrative experience (preferably at least 3 within the legal field).
  • 1+ years of professional experience with the Microsoft Office suite of products (required).
  • Proficient in Microsoft Word, Excel, and Outlook (required).
  • Experience with Kofax Power PDF Advanced (preferred).
  • Experience within Perfect Law (preferred).
  • Computer-savvy and capable of picking up new programs quickly.
  • Ability to commute to the Tallahassee-based office.
  • Ability to work 8:00am - 5:00pm, Monday - Friday.
  • Ability to pass a criminal background check.
  • Ability to pass a proofreading assessment prior to being interviewed.
