About the position

The Conference Lead at Smithbucklin is responsible for overseeing the delivery of meetings and events for a designated group of clients. This role involves project management, financial oversight, and team management to ensure successful event execution. The Conference Lead collaborates with various stakeholders to develop event strategies and solutions tailored to client needs, while also managing budgets and on-site preparations.

Responsibilities

  • Support the Event Director in developing and implementing aspects of event strategy
  • Develop event strategies, solutions, and innovations tailored to client needs
  • Create registration budgets and forecasts
  • Manage financials including budget development, tracking, and reconciliation
  • Partner with Education and Marketing to design general session programming
  • Oversee on-site preparation and delivery including staff travel plans and VIP management
  • Manage registration oversight including budgeting and on-site registration
  • Identify problems and seek methods to improve performance and efficiency
  • Support future year site selection strategy and venue recommendations
  • Facilitate communication between Smithbucklin units, clients, sponsors, attendees, and suppliers

Requirements

  • 5+ years of event management experience
  • Bachelor's degree or equivalent experience
  • Ability to travel 20%, both domestic and international

Nice-to-haves

  • Certification in Event Management or related professional certification
  • Strong understanding of union and labor requirements
  • Familiarity with venues and convention centers
  • Understanding of hotel contract terms and conditions
  • Proficiency with Microsoft Office Suite
