About The Position

The Conference Operations Manager at the University of Virginia will oversee the day-to-day operations of approximately 100 summer residential programs, ensuring a seamless experience for guests participating in various educational and recreational activities. This role involves managing logistics, supervising student staff, and providing exceptional customer service while adapting to the dynamic environment of summer conferences.

Requirements

  • Bachelor's Degree
  • At least one year of experience in a relevant field, with additional experience considered in lieu of a degree.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Excellent communication and customer service skills.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Comfortable with technology and quick to learn new software and database programs.
  • Ability to work independently and as part of a team, providing support to senior professionals.
  • Demonstrated commitment to diversity, equity, inclusion, and belonging.

Responsibilities

  • Manage reservations and operational logistics for summer conference programs, including Graduation Weekend and Reunions.
  • Respond to inquiries via the Conferences@UVA email account, providing timely customer service.
  • Recruit, hire, onboard, train, and supervise a team of approximately 25 student staff.
  • Develop and implement operational efficiencies for managing over 100 summer conference groups.
  • Collaborate with business partners and the Housing and Residence Life team to transition residential spaces for summer conferences.
  • Maintain accurate program-related records for billing and ensure timely billing of summer programs.
  • Create reports in StarRez for strategic planning and assessments.
