About the position

The Conference Services Manager is responsible for managing, coordinating, and executing group assignments from the Sales Department at Innisbrook Resort. This role involves monitoring contractual agreements related to guest room blocks, meeting spaces, food and beverage services, and special concessions. The manager ensures effective communication across hotel departments to meet the needs of clients while maintaining strong relationships with them. Additionally, the position includes overseeing the Conference Services Coordinator's duties.

Responsibilities

  • Maintain strong client relations and ensure conference specifications are communicated and executed for successful meetings.
  • Monitor and manage room blocks according to contracts to maximize hotel revenue.
  • Review sales contracts and validate important information with clients via turnover letters.
  • Enforce program deadline dates and work with clients to release unnecessary meeting space.
  • Service conference and catering groups and handle resort-wide special projects as assigned.
  • Produce and distribute conference resumes two weeks prior to the main group's arrival and communicate updates to hotel departments.
  • Distribute Banquet Event Orders (BEOs) for groups and affiliates 10-14 days prior to events.
  • Accurately forecast group rooms and food and beverage revenues within a 5% variance.
  • Check sleeping room and suite blocks, special room concessions, and rates with group reservations agents.
  • Participate in site visits and plan meetings for upcoming groups and potential affiliate business.
  • Verify credit information submitted in account management software at turnover.
  • Participate in Pre/Post-Conference meetings and review bills with clients.
  • Oversee the daily duties of the Conference Services Coordinator.

Requirements

  • High School diploma or GED; Bachelor's degree preferred.
  • At least one year of Sales and Conference Services experience preferred.
  • Ability to speak, read, write, and understand the primary language(s) used in the workplace.
  • Good communication skills, both verbal and written.
  • Ability to work independently or in a team environment as a team leader with minimal supervision.
  • Extensive knowledge of food and beverage products and proper preparation and presentation.
  • Knowledge of meeting room capacities, banquet set-up, and audio-visual details.
  • Ability to assess and evaluate employee performance fairly.
  • Ability to supervise, train, and motivate multiple levels of managers and employees.
  • Knowledge of hotel and competitive market.
  • Basic computational ability and computer skills, including accounting programs, Microsoft Word, Excel, and Delphi.
  • Excellent inter-personal and sales-related skills.
  • Exceptional organizational and supervisory skills.
