About the position

The Graduate Assistant for Conferencing & Events at Eastern Kentucky University (EKU) plays a vital role within the Division of Student Success, Engagement, and Opportunity. This position is designed for graduate students who are looking to gain hands-on experience in the field of conference and event planning. The assistantship encompasses professional service, research, and leadership, providing a comprehensive learning experience that meets the needs of campus faculty, staff, students, and external constituents. The Graduate Assistant will be responsible for engaging with various academic colleges, departments, and administrative areas on a daily basis. This role requires effective communication and collaboration with both internal and external partners to streamline logistics for conferences and events, whether they are simple or multi-dimensional in nature. The GA will act as a planner and programmer, ensuring that all aspects of events are well-coordinated and executed. In addition to planning and programming, the Graduate Assistant will also conduct system administration for the university's scheduling and space management software (R25). This includes monitoring the master schedule to ensure compliance with EKU's policies regarding the scheduling of university facilities and outdoor spaces. The position requires attendance at meetings with clients and planning committees, as well as arranging necessary technical support for events, such as audio/visual technology and wireless internet access. This role is part-time, requiring less than 20 hours per week, and involves frequent nights and weekends to accommodate event schedules. The Graduate Assistantship is an excellent opportunity for students to develop their skills in event management while contributing to the vibrant campus community at EKU.

Responsibilities

  • Provide effective and efficient management, assessment, and facilitation of conferences and events at Eastern Kentucky University.
  • Assist staff in event management support, including site selection, facility reservations, contract negotiations, marketing, and on-site coordination.
  • Conduct system administration for the University's scheduling and space management software system (R25).
  • Implement space utilization and monitor the master schedule to ensure compliance with EKU's Policy on Scheduling of University Facilities and Outdoor Space.
  • Attend meetings with clients and internal and external planning committees to the University.
  • Arrange the availability of audio/visual technology technical support and wireless Internet access according to event requirements.

Requirements

  • Unconditional acceptance into a graduate degree program at Eastern Kentucky University.
  • Enroll in at least nine (9) credit hours per semester in a graduate degree program.
  • Maintain a 3.0 GPA in coursework leading toward the completion of a graduate degree.
  • Possess excellent written and verbal communication skills.
  • Possess excellent computer skills (e.g., MS Word, Excel, and PowerPoint).
  • Skills in multi-tasking and the availability to work evenings and weekends as needed.
  • Possess excellent administrative skills.
