About the position

The Constituent Engagement Support Specialist at the University of California, Davis, plays a vital role in supporting the Cal Aggie Alumni Association (CAAA) through effective data management and event support. This position involves managing relationships with Advancement Services, ensuring accurate recording of constituent activities, generating donor lists, and providing event support. The specialist will also be responsible for data reconciliation and reporting to assist in developing metrics for the organization.

Responsibilities

  • Support programs and services offered through the CAAA via data management and event support.
  • Manage relationships with Advancement Services for timely data pulls.
  • Record constituent activities such as event registration and volunteer engagement in the Advance Information System (AIS).
  • Generate donor lists for stewardship purposes.
  • Complete data reconciliation within Anthology/I modules to address duplicate records.
  • Provide recommendations for data maintenance improvement processes.
  • Prepare monthly, quarterly, and annual reports to assist in developing metrics.
  • Assist in sourcing event locations and securing vendors for events.
  • Prepare materials needed for events and staff events onsite as required.
  • Address incoming customer service requests for constituents in a timely manner.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Demonstrated technical experience in database management or software development in a multi-user environment.
  • Experience in database design and maintenance, including administering access, querying, and reporting.
  • Experience coordinating with external vendors.
  • Experience developing process summaries, analysis, and documentation.
  • Analytical and critical thinking skills to resolve complex issues.
  • Strong oral and written communication skills to convey complex information clearly and maintain confidentiality.
  • Proven ability to implement projects with minimal supervision and ensure excellent customer service.

  • Experience supporting in-person and virtual events.

  • Experience using Advancement Information System (AIS), Banner, and other alumni/fundraising databases.
