About the position

The Constituent Services and Office Coordinator for the Mayor's Office is a full-time, in-person role responsible for managing the front desk and providing essential support to the Mayor's Office. This position serves as the first point of contact for visitors and constituents, ensuring a welcoming environment while addressing public inquiries and connecting them to city resources. The role requires strong interpersonal skills, organizational expertise, and the ability to handle a variety of tasks in a fast-paced environment.

Responsibilities

  • Prioritize presence at the front desk to greet visitors and manage daily tasks.
  • Ensure communal spaces in the Mayor's Office are clean and fully stocked.
  • Manage and document all constituent casework in Salesforce and respond to inquiries in a timely manner.
  • Develop and maintain knowledge of City departments and policies to direct constituents appropriately.
  • Utilize communication skills to address complaints and questions from the public and city employees.
  • Collaborate with various teams to maintain talking points for different issues.
  • Run and review bi-monthly constituent casework reports to identify trends and issues.
  • Work with Executive Assistants and Office Manager to ensure front desk coverage as needed.
  • Assist with office meetings, special projects, and occasionally perform off-site duties.

Requirements

  • Two years' post-high school study in Business Administration, Public Administration, or related fields plus three years' administrative support experience.
  • Strong interpersonal and communication skills (both verbal and written).
  • Ability to work effectively under pressure as part of a team.

Nice-to-haves

  • Background in social work and/or government affairs.
  • Working knowledge of Salt Lake City departments and policies.
