The Field Office Admin plays a crucial role in supporting the onsite field team at construction project sites. This position is responsible for ensuring that all administrative tasks are handled efficiently and accurately, contributing to the overall success of the project. The Field Office Admin will verify the accuracy of billing data, manage invoices, pay applications, and purchase orders, and communicate with trade partners and vendors to maintain up-to-date account information. This role also involves assisting in the preparation, issuing, and tracking of Requests for Information (RFIs), Extra Work Orders (EWOs), Subcontractor Work Authorizations (SWAs), and Backcharges, ensuring that all documentation is properly compiled and organized for project closeout. In addition to these responsibilities, the Field Office Admin will prepare and submit petty cash reimbursements, process expense reports, and handle payroll for field staff. This includes maintaining and verifying records of attendance, paid time off (PTO), and overtime. The role requires maintaining, archiving, and filing job site documents such as contracts, job submittals, equipment logs, and daily reports from trade partners. General receptionist duties are also part of the job, including greeting visitors, answering phones, and processing incoming mail and deliveries. The Field Office Admin will also be responsible for making travel arrangements for job site visitors and new or transferring employees, ensuring that the office trailer is well-kept, and managing office supplies and meal orders for onsite meetings.
