About the position

The Construction Manager Assistant plays a crucial role in supporting the Construction Manager by overseeing and coordinating various administrative and operational aspects of construction projects. This position involves providing administrative assistance, managing documentation, coordinating schedules, and facilitating communication among project stakeholders to ensure the successful execution of construction projects.

Responsibilities

  • Provide comprehensive administrative support to the Construction Manager, including managing correspondence, scheduling meetings, preparing reports, and maintaining project files and records.
  • Organize and maintain project documentation, including contracts, permits, drawings, specifications, change orders, and other relevant paperwork, ensuring accuracy and accessibility for project team members.
  • Serve as a central point of contact for communication among project stakeholders, including contractors, subcontractors, suppliers, and internal team members, ensuring effective and timely exchange of information.
  • Assist in coordinating project schedules, including tracking milestones, deadlines, and deliverables, and communicating updates to relevant parties to ensure alignment with project objectives.
  • Support the Construction Manager in monitoring project budgets, tracking expenses, processing invoices, and maintaining financial records to ensure projects are completed within budgetary constraints.
  • Arrange and coordinate meetings, site visits, and conference calls, including scheduling participants, preparing agendas, and documenting meeting minutes to facilitate effective communication and decision-making.
  • Assist in managing relationships with vendors, suppliers, and subcontractors, including obtaining quotes, processing purchase orders, and coordinating deliveries to support project requirements.
  • Collaborate with the Construction Manager and project team members to identify and resolve issues or challenges that may arise during the construction process, including addressing conflicts, delays, or unforeseen circumstances.

Requirements

  • High school diploma or equivalent
  • Previous experience in an administrative or support role, preferably in the construction or engineering industry.
  • Proficiency in Microsoft Office Suite and project management software, with strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
  • Attention to detail and accuracy in managing documentation and administrative tasks.
  • Ability to work independently with minimal supervision and as part of a collaborative team environment.
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced construction environment.
  • Knowledge of construction industry practices, terminology, and regulations is desirable.
  • Strong problem-solving skills and the ability to remain calm and focused under pressure.
