About the position

Join our dynamic team as a Construction Project Coordinator and play a key role in managing the critical behind-the-scenes operations that ensure our construction projects run smoothly. This role is ideal for a detail-oriented professional who excels in organization, communication, and project management within a fast-paced, deadline-driven environment. The ideal candidate thrives both independently and as part of a team and is passionate about contributing to high-quality construction outcomes.

Responsibilities

  • Oversee and manage all construction-related documents, maintaining an organized and efficient filing system for easy access.
  • Compile and manage submittal packages, ensuring all documents are accurate and complete.
  • Assemble closeout documentation, including O&M manuals, ensuring all requirements are met for project completion.
  • Track and monitor the progress of projects, keeping project managers, clients, and subcontractors updated on milestones and status.
  • Maintain project and job site files from initiation through completion.
  • Assist in auditing insurance certificates, ensuring compliance with project and industry standards.
  • Build and maintain strong relationships with clients and subcontractors, serving as a reliable point of contact.
  • Provide administrative support to the project management team as needed, ensuring smooth project workflows.

Requirements

  • 2-5 years in a project coordination or administrative role, preferably in the construction industry.
  • Highly dependable, hardworking, and self-motivated with a strong drive to exceed expectations.
  • Superior analytical and organizational abilities with a keen attention to detail.
  • Excellent time management and prioritization skills to balance multiple tasks with professionalism and composure.
  • Advanced knowledge of MS Office, particularly MS Excel.
  • Experience with cloud-based document management systems like DocuSign, SharePoint/OneDrive.
  • Familiarity with Procore is highly desirable.
  • Strong written and verbal communication skills, able to clearly and effectively collaborate with teams, clients, and subcontractors.
  • Works well in a collaborative team environment but can also take initiative and work autonomously with minimal supervision.
