About the position

Service Solutions Restoration is seeking a dedicated Construction Project Coordinator to join our team in San Diego, CA. This full-time position is designed for individuals who thrive in fast-paced environments and possess strong multitasking abilities. The ideal candidate will be a quick learner, proactive, and unafraid to ask questions. This role is crucial as it serves as the primary point of contact for clients, ensuring their needs are met throughout the restoration process. The Construction Project Coordinator will coordinate mitigation and remediation efforts, assist with dispatching field crews, and communicate essential job details to clients. Daily interaction with clients is expected, as the coordinator will advocate for their needs and keep them informed of job progress. The successful candidate will need to learn the specific language of the industry and the company, as well as understand the unique requirements of each client. This role requires a blend of analytical skills, problem-solving abilities, and strong interpersonal communication. The Construction Project Coordinator will be responsible for managing job details, ensuring compliance with company policies, and maintaining organized records of each project. The position demands a high level of organization and the ability to work under pressure while maintaining a confident demeanor with clients. The hours for this position are Monday to Friday, from 8:00 AM to 5:00 PM, with a pay range of $22.00 to $25.00 per hour, depending on experience. The role involves coordinating with technicians, scheduling jobs, and ensuring that all parties involved are updated with accurate information. The Construction Project Coordinator will also be responsible for performing training on the software used and ensuring that all job phases are understood and executed efficiently.

Responsibilities

  • Coordinate and dispatch technicians for job assignments.
  • Schedule jobs based on client availability.
  • Maintain organized notes and understanding of each job.
  • Update clients and all parties involved with accurate information.
  • Perform training webinars and demonstrate proficiency in software used.
  • Understand the phases involved in the restoration process, including Water Mitigation and Reconstruction.
  • Open new leads/jobs in NGS ENTERPRISE during incoming calls.
  • Enter all available information from initial calls into DASH.
  • Track missing details and follow up for homeowner and insurance information.
  • Ensure relevant dates, notes, photos, and documents are entered in NGS ENTERPRISE.
  • Conduct daily client care calls to ensure constant communication.
  • Review DashBoard and ensure all job tasks are completed on time.
  • Monitor and update jobs in NGS ENTERPRISE to ensure efficient flow through company processes.
  • Upload pictures and documents in real-time from job sites with appropriate descriptions.
  • Schedule crews and subcontractors, coordinating with homeowners.
  • Follow up daily with subcontractors or employees to verify work completion and client satisfaction.
  • Document and review job files with photos and notes from subcontractors or employees.
  • Escalate compliance issues to the Estimator/Project Manager and department manager/owner.
  • Perform audits of jobs and write closing journal notes for management review.

Requirements

  • Valid Driver's License preferred.
  • Experience in documentation review.
  • Strong analytical skills to synthesize complex information.
  • Problem-solving skills to identify and resolve issues in a timely manner.
  • Technical skills to assess strengths and weaknesses and pursue training opportunities.
  • Interpersonal skills to maintain confidentiality and listen effectively.
