About the position

We are looking for a dependable and well-organized Construction Project Coordinator to assist our Project Management team. The ideal candidate will play a crucial role in ensuring the smooth operation of construction projects by managing various administrative tasks. Responsibilities include organizing vendor documentation, handling subcontractor purchase orders, completing permit applications, and scheduling site visits. Candidates should possess at least two years of administrative support experience and extensive knowledge of construction project timelines. This position requires a proactive individual who can effectively manage multiple tasks and maintain a high level of organization. The Construction Project Coordinator will be responsible for making calls to vendors to obtain quotes for different project tasks, organizing vendor and other project paperwork, and completing permit applications while ensuring they are approved. Additionally, the coordinator will schedule site walkthroughs at the close of the project and client meetings, update and track project schedules, and collect and organize two-week look-ahead documents along with photos and descriptions. The role also involves planning meetings and organizing project logistics, which includes coordinating with the Project Manager to discuss current and upcoming work, as well as managing closeout coordination. Other key responsibilities include collecting and organizing O&M manuals, warranties, and lien waivers, researching and expanding the subcontractor list for existing and future projects, and working closely with project managers to maintain schedules and scope consistency. The coordinator will also review and issue change orders as needed, maintain submittal and RFI logs, and ensure that construction documents and plans are organized and accessible. This position is essential for building and maintaining strong customer relations with contractors, vendors, and clients, ensuring that all project documentation is comprehensive and up to date.

Responsibilities

Requirements

  • Knowledge of building and construction practices and terminology
  • 2 years administrative work in the Construction field or equivalent experience
  • Ability to work independently with minimal direction, as well as part of a team environment
  • High degree of organizational ability
  • Proficiency in MS Office, Bluebeam and Adobe
  • Ability to multi-task and manage deadlines and priorities effectively
