About the position

As a Construction Project Coordinator at Valvoline, you will play a crucial role in the coordination of preconstruction and due diligence work. This position involves supporting and coordinating construction bidding and contracting activities, ensuring that all processes are executed efficiently and effectively. You will be responsible for managing the purchase order and AFE requisitions process, overseeing the goods receipt process, and managing the project closeout process. Your contributions will be vital in ensuring that projects are completed on time and within budget, while also maintaining high standards of quality and compliance. In the preconstruction and due diligence phase, you will coordinate various activities, including ordering and managing design services and conducting environmental and geotechnical investigations. You will ensure that all necessary reports are received promptly and that change orders and payments for preconstruction activities are managed effectively. Your role will also involve preparing project documents for bidding, assisting project managers and bidders in the bidding process, and participating in the award of contracts. You will prepare and circulate contract documents, ensuring that all relevant parties are informed and that the necessary organizational reports are provided. During the construction phase, you will manage general contractor pay applications, processing pay applications, change orders, and lien waivers. You will initiate and manage project-supporting purchase orders, ensuring that all financial aspects of the project are accurately documented and reported. As the project nears completion, you will prepare purchase order requisitions, manage the payable process, and ensure the quality of purchase order closures. You will collect and verify closeout documentation from general contractors and vendors, working closely with the project team to ensure that all financial aspects are accurate and that contracts are closed out properly. This role may also include other duties as determined by Valvoline from time to time.

Responsibilities

• Coordinate preconstruction and due diligence work, including ordering and coordinating design services and environmental investigations.
• Manage change orders and payments for preconstruction and due diligence activities.
• Prepare project documents for bidding and assist project managers in the bidding process.
• Participate in the award of contracts and prepare contract documents for execution.
• Manage general contractor pay applications during construction, including processing pay applications and change orders.
• Initiate and manage project-supporting purchase orders and ensure accurate financial documentation.
• Prepare purchase order requisitions and manage the payable process during project closeout.
• Collect and verify closeout documentation from general contractors and vendors.

Requirements

• Associate's degree in accounting or business (Bachelor's degree preferred).
• Minimum of two years of accounting or business administration experience in the construction industry.
• Understanding of processes, tasks, and documentation needed for retail construction is preferred.
• Excellent organizational, budget management, and communication skills.
• Minimum of two years of construction and/or business administration experience in pre-construction.
• Experience with Excel, SAP, and project management software.
• Comprehensive understanding of retail construction processes, tasks, and documentation is preferred.
• Must be authorized to work in the U.S.
