About the position

The Construction Project Coordinator at Island Construction & Demolition, LLC plays a crucial role in supporting the construction team by coordinating multiple projects. This position involves managing project documentation, ensuring compliance with contracts, and facilitating communication among team members and stakeholders. The ideal candidate will thrive in a fast-paced, collaborative environment and contribute to the successful execution of construction projects.

Responsibilities

  • Electronic setup of new projects on shared corporate server and setup of hard copy project files.
  • Document control activities: reviewing project drawings for changes, updating drawing sets with RFIs, transmittals, etc.
  • Manage electronic project documents: contracts, change orders, reports, email communications, O&M manuals, record and as-built drawings, etc.
  • Verify contracts are fully executed, secure proper paperwork, and verify subcontractors are in good standing with vendor compliance prior to starting work.
  • Document and track potential change orders; document approved change orders; file electronically and distribute to appropriate team members and stakeholders.
  • Submittal review and processing.
  • Assist with RFI management.
  • Assist with securing and compiling electronic turnover documents; assure all documentation requested is received from subcontractors/suppliers for each ongoing project assigned; compile electronic close-out documents and prepare turnover packages.
  • Assist with information management.
  • Assist with managing team goals, project schedules, and new information.
  • Supervise current projects and coordinate all team members to keep workflow on track.
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored.
  • Direct project correspondences by preparing and sending daily reports, project memos, meeting minutes, and emails.
  • Provide clerical/administrative support for project team as requested.
  • Work collaboratively and build effective relationships with design team, builder, site operations, and some directly managed vendors.

Requirements

  • 2+ years of experience in the commercial construction industry.
  • 1+ years reviewing project drawings for changes.
  • Proven work experience as a Project Coordinator in a similar role in the construction industry.
  • Excellent communication and interpersonal skills, capable of maintaining strong relationships.
  • Strong organizational and multi-tasking skills.
  • Excellent analytical and problem-solving abilities.
  • Documentation management skills.
  • Time management skills with the ability to meet deadlines.
  • Ability to handle multiple projects and support multiple team members with minimum supervision.
  • Exceptional skills in organization, diligence, and attention to detail even under pressure.
  • Strong computer and internet research skills.
  • Ability to work well with all levels of management and staff including outside clients, vendors, and contractors.
  • Sensitivity to confidential information.
