About the position

The Contact Center Scheduler is responsible for managing incoming calls, scheduling appointments, and ensuring effective communication between patients and healthcare providers. This role involves administrative duties, maintaining patient confidentiality, and adhering to HIPAA guidelines while providing excellent customer service.

Responsibilities

  • Answer incoming calls, including screening calls, cancelling or scheduling appointments, taking messages, creating patient cases, and providing information to patients, physicians, providers, hospitals, and staff.
  • Document correspondence in the patient's medical record and update demographic and insurance information in the Athena EHR.
  • Verify insurance and network status using payer portals and/or calling insurances.
  • Coordinate internal schedules and book patient appointments.
  • Ensure all necessary medical documentation is processed according to standard procedures.
  • Ensure communication with patients and internal departments is clear and timely.
  • Coordinate with clinic staff to follow up on patient requests.
  • Perform administrative duties including scanning paperwork, data entry, and general organization.
  • Maintain patient confidence and protect business operations by keeping information confidential and following HIPAA guidelines.
  • Perform all other duties as assigned.

Requirements

  • High school diploma or equivalent
  • 1 - 3 years scheduling and/or customer service experience
  • Possess an understanding of Insurance Plans, e.g., Medicare vs Medicare Advantage
  • Computer skills in EMR and MS Office (Excel, Word, Outlook)
  • Excellent interpersonal and problem-solving skills
  • Strong attention to detail

Benefits

  • Base pay range of $44K - $59K per year
