About the position

Heluna Health invites applications for the full-time position of Contracts and Grants Manager. Under the supervision of the Director of Bridge HIV, the Bridge HIV Contracts and Grants Manager will oversee the direction, coordination, implementation, execution, and documentation of Bridge HIV contracts and grants in alignment with the mission and vision of Bridge HIV. Bridge HIV is a grant-funded research unit affiliated with the San Francisco Department of Public Health and the University of California San Francisco. Since the early 1980s, Bridge HIV has been at the forefront of innovative strategies to combat HIV/AIDS, with its investigators recognized as global leaders in HIV vaccine and prevention science, epidemiology, medication adherence, and research training methods. In response to the COVID-19 pandemic, Bridge HIV has also engaged in COVID-19 vaccine and epidemiology studies, as well as STI vaccine studies due to rising STI rates. This position is temporary and grant-funded, requiring in-person work. The annual pay rate is $122,720. Candidates must provide proof of full COVID-19 vaccination or a valid exemption prior to their start date. The role encompasses essential functions such as grants management, fiscal management, and participation in organizational meetings. The Contracts and Grants Manager will work closely with various stakeholders, including the Heluna Health support team, Principal Investigators, and the City and County of San Francisco, to ensure compliance with grant requirements and effective management of funds. The position demands a high level of commitment to racial equity and strong interpersonal communication skills, alongside advanced proficiency in Microsoft Office Suite and project management.

Responsibilities

  • Oversee the direction, coordination, implementation, execution, and documentation of Bridge HIV contracts and grants.
  • Collaborate with the Heluna Health support team on grants management, including pre- and post-award activities.
  • Participate in the development, preparation, and submission of grant proposal budgets.
  • Oversee award review, setup, negotiation, and acceptance of grants.
  • Manage the City and County of San Francisco subcontracting process in collaboration with relevant staff.
  • Represent Bridge HIV Principal Investigators at Board of Supervisors meetings for grants of $100,000 or more.
  • Ensure timely execution of work orders and consultant agreements, monitoring project timelines.
  • Complete and submit mandatory grant application notification forms and Letter of Support requests.
  • Negotiate contracts with pharmaceutical companies and review Clinical Trial Agreements to align with racial equity goals.
  • Monitor grant and contract expenditures and staff salary allocations in the time-keeping system.
  • Conduct quarterly audits of petty cash/stipend accounts and ensure accuracy of cash and receipt counts.
  • Attend and actively participate in various organizational meetings.

Requirements

  • Bachelor's degree from a four-year college or university.
  • Minimum of two (2) years full-time experience in grants and contracts management and accounting activities.
  • Advanced skills in contracts, grants, and accounts payable management.
  • Strong interpersonal communication skills and commitment to racial equity.
  • Advanced proficiency in Microsoft Office Suite, Microsoft Teams, and Adobe Acrobat Professional.
  • Demonstrated ability to work independently and as part of a collaborative team.

Nice-to-haves

  • Experience with NIH grant awards and public policy requirements.
  • Familiarity with Generally Accepted Accounting Principles (GAAP).
  • Ability to learn new software applications as needed.
