About the position

Our Boston-based client is seeking a highly skilled contract to hire Executive & Personal Assistant to support their busy CEO. This role requires an individual with at least 7 years of experience in providing executive-level administrative support. The ideal candidate will be responsible for managing the CEO's calendar, scheduling meetings, coordinating travel arrangements, and handling correspondence. This position demands a confident and motivated self-starter who possesses excellent organizational and communication skills, a sense of urgency, and the ability to work well under pressure in a dynamic environment. The Executive & Personal Assistant will be the voice of the CEO, ensuring that all communications are handled professionally and efficiently. The role involves not only managing the CEO's schedule but also preparing for meetings, overseeing personal appointments, and organizing events. The assistant will also be responsible for maintaining an updated list of contacts and correspondence across various platforms, including LinkedIn and email. Additionally, the assistant will oversee ad hoc projects for different departments and levels of staff, taking on additional responsibilities as required. This position is hybrid, requiring the assistant to be onsite in Boston 2-3 days per week once fully trained. The compensation for this role ranges from $35 to $45 per hour, depending on experience and qualifications. Applicants must be local and willing to commute to Boston. Responsibilities

  • Manage the scheduling, preparation, and administration of external/internal meetings, personal appointments and events
  • Provide executive level support; schedule and coordinate appointments, travel arrangements, expenses, correspondence etc.
  • Compose and respond to emails and assist with personal requests and scheduling
  • Manage and keep updated list of contacts & correspondence for CEO in database and across all platforms (LinkedIn, email, mobile, etc.)
  • Oversee ad hoc projects for various departments and levels of staff
  • Assume additional responsibilities as required

Requirements

  • Associate or Bachelor's degree preferred
  • 7+ years of experience providing 1:1 C-Level Executive/Senior administrative support
  • Heavy calendar management experience
  • Experience effectively communicating with upper-level management
  • Ability to organize and prioritize multiple tasks and meet deadlines in a fast-paced/changing environment
  • Excellent written and verbal communications skills, top-notch attention to detail, and a proven ability to write and edit executive correspondence
  • Events experience a plus
  • Proven mastery of Microsoft Office applications including Outlook, Word, Excel, PowerPoint as well as Virtual meeting platforms (Zoom, Teams)
  • Ability to travel to various locations in and around the Boston/Greater Boston area
