About the position

The Contract Specialist at Aston Carter serves as the primary liaison for Global Military customers, including U.S. Government and international military clients. This role involves managing day-to-day interactions, processing contracts, and ensuring compliance with various regulations while supporting new business initiatives. The specialist will engage in extensive correspondence, oversee the quote/proposal process, and maintain customer relationships, all while ensuring the integrity of sales orders and contract documentation.

Responsibilities

  • Serve as the primary point of contact for Global Military customers.
  • Manage day-to-day interactions for existing and follow-on orders.
  • Engage in extensive correspondence with Global Military customers.
  • Process Receiving Reports and invoices in the US Government's PIEE/Wide Area Workflow (WAWF) System.
  • Create, submit, and obtain necessary approvals for programmatic documents.
  • Oversee the quote/proposal process and provide timely quotations to customers.
  • Review and manage all new and existing MLE contracts and orders.
  • Execute the formal Contract Review process and disseminate contractual requirements.
  • Accurately enter and maintain sales orders in ERP system.
  • Create, maintain, and update Salesforce CRM entries to track customer opportunities.
  • Collaborate with Manufacturing Operations to ensure on-time delivery of customer orders.
  • Oversee the acquisition, receipt, and disposition of US Government Furnished Property.
  • Identify and implement process improvements.
  • Maintain regular and effective internal and external customer relationships.
  • Perform other duties, tasks, and projects as assigned.
  • Ensure the maintenance of secure and confidential company and customer information.

Requirements

  • Bachelor's degree from an accredited university in a related field.
  • Exceptional attention to detail.
  • Outstanding written and verbal communication skills.
  • Excellent organizational skills.
  • Experience in a fast-paced business environment, with previous experience in Contracts, Customer Service, or Sales.
  • At least five years' experience with USG and International/Commercial contracts preferred.
  • Self-motivated with the ability to work independently under general direction.
  • Ability to work outside standard work hours to support time-sensitive tasks.
  • Strong time management and prioritization skills.
  • Strong interpersonal skills.
  • Knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS).
  • Knowledge of import and export compliance regulations preferred.
  • Familiarity with ERP systems, Salesforce, and Government websites/systems preferred.
