About the position

The Field Medical Operations Coordinator plays a crucial role in supporting the field medical team (MSLs) by coordinating administrative, operational, and project management tasks. This position ensures the effective and compliant execution of MSL activities, including planning, monitoring, and reporting on various projects and metrics. The Coordinator is responsible for facilitating training, scheduling, and resource management to enhance the team's performance and compliance with regulations.

Responsibilities

  • Provide dedicated field support for the coordination of all field Medical Affairs projects and operations.
  • Organize and schedule speakers, meetings, trainings, content review sessions, and workshops for MSLs, including logistics and documentation.
  • Track and monitor outside services, budgets, invoices, contracts, and protocols, identifying issues of concern.
  • Support manager with MSL systems and metrics data and reporting, working with field operations and vendors.
  • Manage field material deployment and coordinate required training and portal access with internal MedComs leads and MSLs.
  • Work with the manager and delegated individuals on MSL program execution, including progress reports and documentation.
  • Coordinate presentations for scientific and functional components required for MSLs.
  • Assist the Operational Lead in developing project plans, tracking tools, and dashboards for prioritized projects.
  • Support development timelines for MSL plans, including region management and KOL mapping.
  • Support all field-related MRC submissions and communications, working with internal leads.
  • Coordinate MSL activities such as roundtables, advisory boards, insight programs, vendor management, and metric reporting.
  • Work with stakeholders to coordinate presentation creation and communication planning for Field Medical team programs.
  • Manage new hire onboarding and home-learning modules, conducting weekly progress checks.
  • Coordinate, track, and support overall budget and resource planning across field Medical Affairs.
  • Maintain knowledge of SI compliance and regulations to ensure policy consistency.

Requirements

  • Bachelor's degree preferred, but not required with applicable experience.
  • Minimum of 4 years' experience in the pharmaceutical industry or similar, with a comprehensive understanding of administrative and support functions for the MSL team; experience in medical operations preferred.
  • Demonstrated high-level proficiency with Microsoft Office Suite (Office, Word, Excel, PowerPoint, Adobe) and strong typing skills.
  • Strong project management skills and experience; PMP preferred.
  • Proactive style with a high level of attention to detail and ability to anticipate needs.
  • Experience managing multiple tasks and deadlines; excellent time management and organization skills.
  • Ability to establish and manage relationships with company field and internal roles.
  • Excellent interpersonal, communication (oral and written), and presentation skills.
  • Ability to work in a matrixed environment and provide leadership to a diverse team.
  • Demonstrated skills in systems management, team coordination, communication, meeting planning, and effective reporting processes.

Nice-to-haves

  • Industry experience in pharmaceutical MSL admin/operations strongly preferred.
