About the position

The Contracts Administrator position at VAE, Inc. is a critical role focused on the administration and monitoring of contract performance for major government contracts. This position is fully remote, requiring the candidate to work during core hours from 9:00 AM to 5:00 PM Eastern Time. The Contracts Administrator will be responsible for conducting negotiations and administering agreements between the company, customers, subcontractors, and vendors, ensuring compliance with company policies and procedures. This includes reviewing contract solicitation terms, handling contract award confirmations, interpreting agreement terms and conditions, and identifying potential issues. The role also involves reviewing agreement amendments and modifications, incorporating necessary changes, and providing guidance on contractual matters to the Contract Manager and Program Manager. In addition to these responsibilities, the Contracts Administrator will respond to inquiries regarding contract obligations and revisions, conduct proposal preparations for prime contractor RFPs, and negotiate terms and conditions. Under the supervision of a Contract Manager, the administrator will analyze, prepare, and negotiate various contractual agreements, including Teaming Agreements, Non-Disclosure Agreements, and Memorandum of Understandings. The position serves as the primary point of contact between the company and the customer for all contractual matters related to assigned contracts and projects, including auxiliary agreements such as Proprietary Information Agreements. The Contracts Administrator will also draft, prepare, and execute internal and external correspondence on contractual matters, compile and maintain all required contractual records and documents, and serve as the official repository for all contractual documentation. The role requires a strong knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS), as well as a comprehensive understanding of contract types and government contracting processes. The administrator will maintain effective internal and external customer relations and perform special projects as requested.

Responsibilities

  • Administer and monitor contract performance on major government contracts.
  • Conduct the negotiation and administration of agreements between the company, customers, subcontractors, and vendors.
  • Review contract solicitation terms and handle contract award confirmations.

Requirements

  • Minimum of 5 years of directly related work experience.
  • Experience working on proposal responses to Request for Proposal (RFP).
  • Experience managing Government contracts and Subcontracts under FAR, DFAR, and other agency supplements.
  • Experience preparing, maintaining, retrieving, and communicating records, reports, or documents for corporate and Contract Management requirements.
  • Experience performing closeout of contracts and finalizing outstanding contract issues.
  • Strong knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS).
  • Detailed knowledge of proper drafting, negotiation, and use of contracts, subcontracts, and POs.
  • Excellent verbal and written communication skills.
  • Excellent organizational and computer skills.
  • General computer proficiency and familiarity with Microsoft Office programs.

  • Membership in National Contract Management Association (NCMA).
  • Experience interfacing with all levels of the project team.
