About the position

The Contracts and Vendor Management Administrator at WSECU is responsible for overseeing the vendor risk management program and providing administrative support across various functions. This role involves collaborating with vendor owners, managing contract processes, and ensuring compliance with best practices in vendor management. The position requires strong multitasking abilities and effective communication skills to interact with all levels of the organization.

Responsibilities

  • Provide support to vendor owners related to the Vendor Risk Program Management
  • Facilitate requests for due diligence document reviews from vendor management system (VMS) vendor
  • Advise vendor owners on contract requirements and strategies to facilitate and expedite the contract process
  • Track invoices and monitor the budget
  • Support vendor owners during contract negotiations with vendor management due diligence needs
  • Ensure all contract documents are fully executed by all parties involved
  • Advise vendor owners of best practices on vendor contract/relationship management
  • Maintain all systems of record for vendors and contract documents
  • Conduct training for vendor owners on policy, system, and due diligence
  • Assist in the development of the operating budget for vendor services
  • Attend training on vendor risk management; possible travel if needed
  • Manage software (logic manager) system admin, including permissions, workflows, and troubleshooting
  • Develop contract strategy for vendor services during mergers and acquisitions as needed
  • Provide backup for Administrative Services and Security Desk functions
  • Facilitate meetings and create meeting minutes for various departmental meetings

Requirements

  • Three (3) years' experience working with contract administration and vendor management
  • Proficient knowledge of Microsoft Office Suite of products and ability to learn other software programs
  • Data-entry experience in a professional office environment
  • Well-developed interpersonal, written, and verbal communication skills to effectively interact with staff and management
