About the position

The Contracts & Billing Manager at New Moms is responsible for overseeing Medicaid billing, managing government contracts, and performing various finance functions. This role is crucial in ensuring accurate claim submissions, fiscal reporting, and compliance with contract requirements, all while supporting the organization's mission to empower young mothers and their children. The position emphasizes the importance of diversity, equity, and inclusion in its operations and interactions with stakeholders.

Responsibilities

  • Submit Medicaid billing and follow up on unpaid claims.
  • Manage the interface between case management, practice management, and clearinghouse software.
  • Ensure complete files and reports on all claims.
  • Review payer balances in the Electronic Health Record and document follow-up progress.
  • Troubleshoot and research claims, re-billing if necessary, including appealing denials or incorrectly paid claims.
  • Monitor and report on payer status regularly, generating management reports on outstanding claims and denial reasons.
  • Lead collaboration between fiscal reporting and program staff to address identified billing needs.
  • Work with the Finance and Contracts team to complete and submit monthly and quarterly billing vouchers on assigned contracts.
  • Maintain all backup documentation on submitted vouchers.
  • Submit monthly, quarterly, and annual programmatic reports to assigned funders.
  • Update contract tracking documents and accounting staff with vouchered amounts and payments.
  • Complete fiscal reports and vouchers on all assigned contracts/grants, including annual budgets and budget revisions.
  • Prepare for and serve as the main point of contact for all fiscal audits on assigned contracts/grants.
  • Assist the Finance Department with accounting and recordkeeping functions, including financial statements and payroll reports.
  • Collaborate with internal departments to reconcile accounting discrepancies.
  • Exercise discretion and independent judgment in significant matters; supervise volunteers and/or interns as determined by the supervisor.

Requirements

  • Bachelor's degree in Accounting or Healthcare Administration preferred.
  • More than three years of billing and claims submission, collections, and authorization experience required.
  • Experience and/or certification in Medicaid billing and billing software preferred.
  • Ability to utilize medical billing software and financial ledgers.
  • Experience working with government contracts in a non-profit environment is a plus.
  • High attention to detail and results-oriented approach to work.
  • Proficiency in Microsoft Excel and other personal computer applications.
  • Ability to communicate clearly and concisely with insurance companies and other stakeholders.
  • Ability to manage and prioritize multiple responsibilities and deadlines.

Nice-to-haves

  • Experience with government contracts in a non-profit environment.
  • Certification in Medicaid billing and billing software.
