About the position

The Contracts Manager/Payroll position at a locally owned general contractor in Everett, WA, focuses on contract administration, payroll management, and accounts payable processing. The role requires expertise in union payroll and prevailing wage, ensuring compliance with federal reporting requirements while maintaining accurate records and fostering effective communication with project managers and suppliers.

Responsibilities

  • Set up new vendors in the system and ensure compliance with applicable regulations.
  • Draft, edit, and process all contract documents, maintaining records and logs.
  • Handle billing for the construction department and track time during Project Management meetings.
  • Analyze and enter accounts payable items into the system, ensuring proper coding of invoices.
  • Compile weekly accounts payable pay runs and communicate with suppliers to ensure compliance with agreements.
  • Gather vendor information for federal reporting and assist in yearly reporting of vendor payments.
  • Maintain payroll data by gathering, calculating, and inputting data into the system.
  • Identify and resolve payroll inconsistencies in collaboration with department supervisors.
  • Provide payroll information and maintain payroll processes according to policies and procedures.

Requirements

  • At least 2+ years of proven experience in Contracts, Accounts Payable, and Payroll.
  • Knowledge of union payroll including prevailing wage, union dues, and fringe benefits.
  • Experience in the construction industry is highly preferred.
  • Degree in business administration, finance, or accounting preferred, or strong equivalent work experience.
  • Strong numerical aptitude and attention to detail.
  • Excellent verbal and written communication skills.
