About the position

Stagecrafters, a 501(c)(3) not-for-profit community theater located in Royal Oak, Michigan, is seeking an experienced and detail-oriented Controller to join our team. Founded in 1956 and having moved to the Baldwin Theater in the 1980s, we have a rich history of staging productions, with our first being The Music Man in 1985. The Controller will play a crucial role in managing the financial operations of the organization, ensuring accuracy and compliance with financial regulations, and providing key financial insights to support strategic decision-making. This position requires strong organizational skills and the ability to work effectively in a dynamic environment. The Controller will be responsible for a variety of financial tasks on a weekly, bi-weekly, monthly, quarterly, and annual basis. Weekly responsibilities include posting deposits, coding and approving invoices, writing checks, entering credit card charges, and reconciling bar service revenue. Bi-weekly tasks involve processing payroll and updating the PTO spreadsheet. Monthly duties include reconciling all bank statements, closed shows, and expenses, as well as creating show wrap-up reports and financial statements. Quarterly and annual responsibilities encompass submitting reports, preparing budgets, and overseeing audits. The ideal candidate will have a strong background in accounting and finance, with proven experience in a similar role, and will be able to communicate effectively with staff and board members.

Responsibilities

  • Post deposits and code/approve invoices weekly.
  • Write checks and prepare them for signing/mailing weekly.
  • Enter credit card charges weekly.
  • Reconcile bar service revenue and transfer funds from PayPal weekly.
  • Process payroll on Monday mornings bi-weekly.
  • Post payroll journal entries bi-weekly.
  • Update the PTO spreadsheet bi-weekly.
  • Reconcile all bank statements monthly.
  • Reconcile closed shows and associated revenues monthly.
  • Reconcile expenses, ensuring invoices support all purchases monthly.
  • Accrue any late-posting expenses into the month the show closed monthly.
  • Create show wrap-up reports and send them to producers, the treasurer, and the production VP monthly.
  • Post journal entries and create/review financial statements monthly.
  • Prepare financial statement narratives monthly.
  • Prepare musician contracts for upcoming musicals monthly.
  • Add/remove checkbook producers to bank account signatories monthly.
  • Attend staff meetings monthly.
  • Attend board meetings (3rd Wednesday of the month, 7 pm) monthly.
  • Submit 501 Alliance Report online quarterly and send a check for unemployment insurance payment.
  • Prepare 1099s and review W-2s annually in January.
  • Prepare Cultural Data Collection Report for MCACA Grant annually (February-April).
  • Prepare budgets for MCACA/Kresge grants annually (March-May).
  • Prepare the annual company budget annually (May-June).
  • Prepare interim/final grant reports annually (July-August).
  • Prepare audit documents/reconciliations annually (August).
  • Oversee audit annually (September-October).
  • Review 990 annually (October-November).
  • Revise grant budgets to awarded amounts annually (October-November).

Requirements

  • Bachelor's degree in Accounting, Finance, or related field.
  • Proven experience as a Controller or similar role (3 years preferred).
  • Strong knowledge of accounting principles and financial reporting.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Effective communication and interpersonal skills.
