About the position

Rivian is on a mission to keep the world adventurous forever, and as the Coordinator for Commercial Facilities Operations, you will play a crucial role in ensuring that our commercial sites operate smoothly and efficiently. This position is responsible for executing day-to-day operational tasks and maintenance activities, ensuring that our teams can provide an exceptional customer experience. You will be the key point of contact for receiving, assessing, and dispatching work orders, maintaining close communication with local site teams to uphold Rivian's high standards throughout the process. In this role, you will also support the rollout of large-scale programs and ad hoc projects, collaborating across multiple departments to achieve success. Your responsibilities will include implementing programs and procedures to keep Rivian facilities and properties operating at their best, responding to all service and repair work orders, and providing corrective action as needed. You will drive and monitor vendor performance, ensuring that all work is completed to Rivian's standards, and you will be responsible for maintaining accurate records and documentation. Additionally, you will track and report key performance indicators for Quarterly Business Reviews, identify and escalate recurring issues, and manage after-hours escalations and weekend emergencies on a rotational basis. Your ability to analyze purchase requisitions and operating expenses will be essential, as will your partnership with internal and external partners to ensure timely completion of warranty and landlord-related work orders. You will also perform ad hoc facility management projects as identified by the Repair and Maintenance manager, including new site openings and small works requests.

Responsibilities

  • Implementing programs and procedures to keep Rivian facilities and properties operating at their best.
  • Responding to all service and repair work orders and providing corrective action as needed.
  • Driving and monitoring vendor performance to maintain Rivian standards.
  • Reviewing vendor proposals and invoices to ensure scope of work is captured and accurate.
  • Communicating status updates and maintaining accurate records and official documentation.
  • Tracking and reporting key performance indicators for Quarterly Business Reviews.
  • Identifying and escalating recurring issues and providing feedback for programmatic changes based on findings.
  • Managing and supporting after-hours escalations and weekend emergencies on a rotational basis.
  • Tracking, managing, and analyzing purchase requisitions and operating expenses.
  • Partnering with internal and external partners to ensure warranty and landlord-related work orders are completed in a timely manner.
  • Performing ad hoc facility management projects as identified by the Repair and Maintenance manager.

Requirements

  • 2-3 years of facilities, project management, or construction experience.
  • Strong organizational skills and attention to detail.
  • Ability to communicate accurately and timely, with the ability to shift focus and adjust to rapidly changing priorities.
  • Proven operating knowledge of plumbing, electrical, HVAC, and interior/exterior repairs and services.
  • Proven ability to manage third-party vendor relationships.
  • Experience in customer service within a fast-paced and dynamic environment.
  • Knowledge of CMMS software and ability to learn new software quickly.

Nice-to-haves

  • Experience with PO management systems and Design & Construction tools.
  • Ability and willingness to travel dependent on business needs.
