About the position

The Coordinator, Events and Marketing for the Wharton AI & Analytics Initiative at the University of Pennsylvania plays a crucial role in supporting the planning and execution of various events that enhance the initiative's mission. This position involves working closely with the Associate Director of Strategic Planning and Events Lead, as well as the Director of Marketing and Communications, to ensure that all event logistics, marketing, and registration processes are streamlined and effective. The Coordinator will be responsible for managing a diverse portfolio of events, including technical workshops, student programming, annual conferences, and webinars, which may be in-person, virtual, or hybrid formats. In this role, the Coordinator will serve as the resident expert on the event management platform, building and managing event registration for flagship events, establishing templates, and providing training to WAIAI staff. The position also requires leading the execution of event marketing strategies, utilizing various channels such as email, social media, and web platforms to promote events effectively. The Coordinator will communicate marketing deadlines and expectations to stakeholders and foster relationships with student boards and clubs to develop grassroots marketing efforts for student events and programs. Additionally, the Coordinator will analyze data and report findings to the Associate Director to help develop strategies and initiatives for event marketing and technology management. Supporting the event infrastructure, including space management and documentation, is also a key responsibility of this role. The ideal candidate will possess a strong background in event coordination and marketing, along with excellent communication skills and the ability to work collaboratively in a team environment.

Responsibilities

  • Supports and implements the logistics for WAIAI's portfolio of in-person, virtual, and hybrid events, including technical workshops, student co-curricular programming, annual conferences, and webinars.
  • Streamlines event marketing and registration processes using technology platforms, serving as the event management platform resident expert.
  • Builds and manages event registration for flagship events, establishing event registration templates, and training WAIAI staff.
  • Leads execution of event marketing under the guidance of the Director of Marketing and Communications, utilizing email, social media, and web channels.
  • Communicates event marketing deadlines, expectations, and needs with stakeholders.
  • Fosters relationships with student boards and clubs to develop and execute grassroots marketing efforts for student events and programs.
  • Analyzes data and reports to the Associate Director of Strategic Planning and Events Lead to help develop strategies, initiatives, and processes for event marketing and technology management.
  • Supports event infrastructure such as event space management, calendars, and documentation.

Requirements

  • Bachelor's degree required.
  • 2-3 years of experience in event coordination and marketing.
  • Strong interpersonal skills and ability to work on a team.
  • Excellent communication skills (speaking, writing, and listening).
  • Flexibility and creative problem-solving skills.
  • Ability to work independently.
