As a Coordinator for Flight Operations Administration, you will be integral in supporting our Flight Operations Programs and Initiatives. This position involves providing administrative support to the Chief Pilot Office and the Pilot group, ensuring effective communication of company goals and objectives to pilots, and becoming proficient in various operational tools such as UltiPro, CrewTrac, and SharePoint. Your role will also include tracking on-time performance, managing leave requests, processing passport letters, and coordinating pilot retirements, terminations, and resignations across departments. You will be responsible for managing office supply inventory, maintaining the organization and cleanliness of the office and crew room, and assisting with special projects as assigned. This position requires excellent communication and problem-solving skills, as well as the ability to coordinate and motivate across departmental lines. Responsibilities

  • Provide administrative support to the Chief Pilot Office and Pilot group.
  • Effectively communicate company goals/objectives to Pilots.
  • Become proficient in UltiPro, CrewTrac, and SharePoint.
  • Assist in tracking on-time performance, LOA, dependability, employee badging, and probationary employees.
  • Assist with coordinating Pilot retirement, terminations, and resignations with all departments.
  • Coordinate leave requests (e.g., jury duty).
  • Process passport letters and requests.
  • Manage parking for your airport and serve as the airport signatory for badging.
  • Track office supply inventory and place orders.
  • Maintain the general organization and cleanliness of the office and crew room at your base.
  • Assist with internal database inquiries and special projects as assigned.

Requirements

  • Must be authorized to work in the U.S.
  • Minimum of 3 years of progressively responsible office administration or similar experience.
  • High school diploma or equivalent.
  • Excellent communication skills, including the ability to speak, read, and write English.
  • Strong organizational skills and proficiency in Microsoft Excel.
  • Ability to problem-solve and react positively to difficult situations.

Nice-to-haves

  • Airport/Airline experience preferred.
  • Experience with SharePoint and other Microsoft products.
