About the position

The Guest Services Coordinator at Peacock Theater is responsible for providing administrative support to the Guest Services Management team while ensuring that all events are fully staffed and operational. This role involves coordinating event staffing, managing communication with team members, and assisting guests with inquiries and issues. The position requires flexibility to work varied hours, including nights, weekends, and holidays, in a fast-paced environment.

Responsibilities

  • Manage the scheduling of Guest Services Team Members for events to ensure full staffing.
  • Create and maintain staffing templates in ABI MasterMind, adjusting based on event needs.
  • Act as a liaison between Management, Supervisors, and Team Members, communicating issues effectively.
  • Perform building walk-throughs prior to events and address Team Member and guest needs.
  • Coordinate and direct Team Members for pre-event and post-event activities.
  • Oversee uniform distribution and maintain proper inventory for events.
  • Assist guests with information and resolve issues before, during, and after events.
  • Answer Guest Services emails, phone inquiries, and mail correspondence during business hours.
  • Maintain staff databases, forms, and templates.
  • Assist Management with hiring, training, and meeting paperwork.
  • Track Team Member attendance and performance, generating appropriate discipline as needed.
  • Process payroll daily and approve requests to ensure accurate Team Member payments.
  • Prepare and send monthly Team Member schedules based on event staffing needs.
  • Manage communication with Team Members, especially on event days, responding to inquiries promptly.
  • Order meals for hiring training and department meetings and complete expense reports as needed.
  • Maintain operational equipment and supplies for the department, coordinating repairs or orders with vendors.
  • Assist with vending machine management, ensuring they are stocked and operational.
  • Support Guest Services Management with special projects and tasks as assigned.

Requirements

  • High School Diploma or equivalent education level.
  • 2-4 years of related work experience.
  • Proficiency in Microsoft Office programs (Word, Excel, Outlook, PowerPoint).
  • Effective communication skills in English, both verbally and in writing.
  • Experience in a fast-paced environment with the ability to multi-task and solve problems.
  • Demonstrated leadership skills and ability to work well with staff members.
  • Strong organizational skills and ability to meet guest expectations creatively.
  • Ability to stand for long periods and lift items weighing up to 30 lbs.
  • Willingness to work long irregular hours, including nights, weekends, and holidays.

Nice-to-haves
