About the position

The Senior Program Coordinator position at the Harvard T.H. Chan School of Public Health is a full-time role within Dr. Karestan Koenen's research group in the Department of Epidemiology. This position is designed for an organized and detail-oriented individual who is passionate about research in population mental health. The coordinator will manage the administrative needs of Dr. Koenen and the larger research group, reporting directly to the Director of Research Operations. The role involves overseeing multiple programs related to various psychiatric disorders, including schizophrenia, bipolar disorder, PTSD, and eating disorders, and will require collaboration with institutions across Africa and Latin America for primary data collection. In this capacity, the Senior Program Coordinator will be responsible for a wide range of administrative and financial tasks. This includes organizing study meetings, providing support for daily lab operations, monitoring research budgets, and overseeing financial processes. The coordinator will also engage in grant writing and manage all administrative components of grant submissions, as well as draft progress reports. The position requires a proactive approach to ensure the smooth operation of research activities and the effective management of resources. The role also includes responsibilities such as onboarding new hires, coordinating international travel arrangements, managing special events, and serving as a liaison between the Koenen lab and finance teams across institutions. The coordinator will be expected to perform monthly assessments of lab finances, assist in budget development for grants, and ensure compliance with spending categories. This position is critical in supporting the research initiatives of the Koenen lab and contributing to the overall mission of the Harvard T.H. Chan School of Public Health.

Responsibilities

  • Oversee the administrative needs for Dr. Koenen and the Koenen lab
  • Manage onboarding activities for new hires based at HSPH and the Broad Institute
  • Coordinate international travel arrangements for the PI, team members, and collaborators
  • Organize and run study meetings with collaborators
  • Provide comprehensive support and oversight for daily lab operations
  • Monitor research budgets and oversee financial processes
  • Engage in grant writing and manage all administrative components of grant submissions
  • Draft progress reports and other NIH required documents
  • Lead daily office operations and provide general administrative support as needed
  • Assign and oversee administrative aspects to other coordinators and research assistants
  • Manage the financial aspects across three institutions with an operating budget of over $10M annually
  • Assist in developing budgets for grants and sub-awards for the Koenen research portfolio
  • Perform monthly assessments of lab and grant-related finances
  • Procure necessary equipment, supplies, and reagents for projects
  • Review and approve reimbursements for travel and corporate cards
  • Serve as a liaison between the Koenen lab and the grants management and finance teams

Requirements

  • 5+ years of related experience required; a combination of education and experience may be considered
  • Bachelor's Degree is strongly preferred
  • Master's Degree is a strong plus (MPH, MS, etc.)
  • Experience working internationally in low and middle-income countries, particularly in Africa or Latin America
  • Experience and/or interest in a research career in the mental health field
  • Experience with financial management
  • Experience with human subjects research and grant-funded research
  • Excellent computer skills, including proficiency in Microsoft Word, Excel, and PowerPoint
  • Experience with REDCap and Concur
  • Ability to work both independently with minimal supervision and within a team environment
  • Highly organized and detail-oriented
  • Excellent interpersonal, written, and oral communication skills
  • Ability to maintain confidentiality and diplomacy with diverse staff across institutions and countries
